Activities Coordinator

Responsible to: Student Activities Manager

Key working relationships:

Internal: Vice President Activity, Vice President Voice, Vice President Community, Societies Executive Chair, Student Activities Manager, Volunteering & Engagement Coordinator, Activities Administrator, Events & Venue Manager, Technical Services Manager, Digital Communication Assistant, Trip Supervisors

External: University Timetabling, Hospitality and Catering (HCCS), Arts Department.

Direct Reports:Trip Supervisors

Job Context:Support and coordination within the Activity Zone primarily and then Community Zone

Job Purpose:To be responsible for support and coordination within Activity in relation to societies and events, providing assistance and guidance to the relevant zone members e.g. VP Activity, Societies Executive Chair and Activity Zone members. Developing a Give It A Go programme of trips and activities for students to attend and participate in.

Budgetary Responsibility: Give It A Go budget

Strategic Responsibilities: Ensuring excellent recordkeeping of society member lists for data capture.

Role Allocation:

ActivityZone / 75%
To be responsible for the delivery of trips and activities for the Give It A Go Programme, helping to recruit and manage the part-time Trip Supervisors (25%)
To assist and support the development, administration and marketing of constituted Societies working closely with the Vice President Activity, Societies Executive and Student Activities Manager. To be a key member of the delivery team for annual committee training (15%)
To be the primary contact for room and venue bookings within the students’ union and university for sports clubs and societies (15%)
To provide administration support for the Vice President Activity and Societies Executive Chair and to administer records of all societies and their elected officers including memberships and inventories (10%)
To assist and support Society events working closely with the Technical Services Manager and relevant university departments (10%)
Other Zones / 15%
To be the prime coordinator for One World Week, Freshers’ Fayre, Refreshers’ Fayre and Student Awards. To be part of the coordinating team for other cultural events as necessary (15%)
Other Duties / 5%
Central events (moving in etc)

Qualifications:
Good general education
Experience:
Experience of working in a customer service environment
Experience of working in a student focused environment
Experience of administering activities in Higher Education (HE)
Experience of working in events
