JOB DESCRIPTION

Job Title:Finance Manager

Status:Regular Salaried, Full Time, Exempt

Reports To: Executive Director

Direct Reports:Facilities Manager

General Duties: Executes finance, human resources, systems network and general administrative functions relating to finance and budgeting for the organization.

Essential Tasks:

  • Be the principal contact at Maitri regarding all capital improvement grants. This includes being present at meetings with the city regarding the grants, oversee the bidding process for each grant, manage the budget of each grant.
  • With supervision from Executive Director, recruit and hire for vacant positions.
  • Provide input for annual budget and budget revisions. Monitors actual results versus budget and develops action plan for negative variances from budget.
  • Maintains grants schedule for tracking restricted and unrestricted funds by periods.
  • Organizes, reviews, assigns appropriate GL codes, and enters payables into general data ledger application in an accurate and timely fashion, and establishes and maintains files of same; also organizes receivables so payments are made accurately.
  • In charge monthly Cash Flow Projection and yearly Agency Budget

completion and facilitates bank reconciliations.

  • In charge of monthly invoicing for Government contract, budget revisions,

budget renewal. Must have experience with nonprofit HHS grants and cost allocations.

  • Participates in monthly Financial Committee meetings.
  • Prepare and run Maitri’s payroll for a bi-weekly pay date.
  • Maintain payroll system: update personnel information, keep current with new

IRS and regulatory mandates.

  • Manage Health Savings Accounts: Deposits from employer and employee.
  • Assist Auditor with annual audit and 990; assist outsideaccounting service with any services including closing each month.
  • Assist with preparation new-hire information packets and assists new hires with

accurate and timely completion of forms. Establish personnel files and assures

that they are current; informs appropriate PTO balances and license data.

  • Supervisor of any financial files so they are ready for site visits.
  • Reconcile calendar W-2’s and distribute appropriately.
  • Assist with preparation of information packets for terminations and new hires as is necessary.

Qualifications:

- BS Accounting degree and experience to create monthly nonprofit financial statements

with fund allocations and analysis.

- Appropriate sensitivities to working with residents and families.

- Criminal background check, physical and TB screening required.

Physical Demands: During the work day sits at a desk up to 50% of the time, which includes typing on a computer/mouse and talking on the phone. Position requires sitting, standing, walking, squatting, bending, waist twisting, kneeling, climbing stairs, reaching up to shoulder height, lifting/carrying/pushing/pulling up to 40 lbs., fine finger manipulation, gross manipulation, simple/power grasp, repetitive hand/arm use; ability to walk one-quarter mile, ability to climb two flights of stairs, have adequate vision to view computer monitor.

OSHA CATEGORY: While this position is not directly involved in performing tasks that involve exposure to blood, body fluids or tissues, the work site does involve such activities performed by others. As such, all employees must use Universal Precautions. Maitri will provide the appropriate Personal Protective Equipment, if/when needed. All employees are offered the opportunity to receive the Hepatitis B vaccination series.
