CONDENSING UNITS AND AIR HANDLERS

BENNETTSVILLE PRIMARY SCHOOL

CAFETERIA

Purpose

The purpose for this Request for Bid (RFB) is to remove and replace (3) condensing units and air handlers in the cafeteria at Bennettsville Primary School.

Specifications

Install and supply 3 complete split 5 ton air handlers and condensing units. Install all ductwork and filter grills for complete job. All manufactures installation instructions are to be followed. Install line sets and evacuate system. Install thermostat on each unit, thermostats are to be made for the units. Compressors shall be scroll with internal over temperature and pressure protector. The units shall have low and high pressure controls. All units are to be designed to operate at 115 degrees F. All units must have low ambient controls, to run at 55 degrees F. All condensing units are to be securely mounted on concrete pads beside office unit. All units are to be wired and install disconnects on each unit. Unit evaporators installed in ceiling to serve kitchen work area. Thermostats mounted close as possible to areas served. All metal ductwork 26 gauge minimum and 1 inch duct liner with R 3.8 insulation value. One year parts and labor warranty.

All work has to be done around Bennettsville Primary School food program.

Evaluation Criteria
Marlboro County School District is looking for one company to provide all of the services listed above. Marlboro County School District reserves the right to reject any and all responses, and to waive any irregularities of information in the evaluation process. The final decision is the sole decision of Marlboro County School District and the respondents to the RFB have no appeal rights or procedures guaranteed to them.

The successful firm will be chosen through a qualitative review of these factors. The following criteria will be used to evaluate proposals received:

1.  Companies should possess knowledge, expertise and experience in the planning, project management and execution of the services for which they are responding for.

2.  Experience and past performance on similar projects.

3.  Capability of proposed solution.

4.  Cost of services provided.

Bid Preparation and Submission Requirements
The Bid shall clearly address all of the information requested herein. Since the written Bid will weigh heavily in the evaluation process, information submitted should be complete and provide a convincing case that the vendor can perform high quality work within schedule and budget constraints. Bids should be thorough yet concise. Bids are to be prepared at your own expense. Marlboro County School District requires that each respondent be an Equal Opportunity Employer:

The Bid shall be sent to the official contact listed below, to be received no later than Thursday, October 22, 2015 by 2:00 p.m. To be accepted, all proposals are to be submitted, in sealed packages marked “Response to BPS Cafeteria HVAC Project.” They must be sent by U.S. Mail, courier service such as Federal Express or United Parcel Service or hand delivered. Selection Process Schedule
The schedule of the selection process is as follows:

·  October 15, 2015 – Vendor RFB Questions Due

·  October 22, 2015 – RFB Responses Due

·  October 23, 2015 – Review of RFB Responses by Marlboro County School

District

·  October 26, 2015 – Notification of Selection Results

Cost of Preparing RFB Response
All costs associated with responding to this RFB are the sole responsibility of the responding company.
Additional Information
Submitted responses to this RFB become the property of Marlboro County School District. Marlboro County School District reserves the right to use any and all ideas included in any response without incurring any obligations to the responding company or committing to procurement of the proposed services.

The Marlboro County School District intends to award the contract to the most qualified firm based on the evaluation criteria listed above. Should the Marlboro County School District and the first firm selected fail to negotiate mutually acceptable fees for service, The Marlboro County School District shall abandon negotiations with the first firm and initiate negotiations with other firms in rank order, however The Marlboro County School District reserves the right to reject any or all proposals if deemed to be in the best interest of The Marlboro County School District.

Marlboro County School District Reserves the Right to:

1. Request an oral interview with, and additional information from, companies/individuals prior to final selection of a provider.

2. Consider information about a company/individual in addition to the information submitted in the response or interview.

3. Reject any and all responses and waive any irregularities.

INSURANCE REQUIREMENTS: The successful contractor must furnish within ten (10) days after written acceptance of bid a copy of his Worker’s Compensation and/or General Liability insurance certificate to the District. Worker’s Compensation coverage shall meet the requirements of South Carolina law. It is agreed that the coverage, as stated, shall not be cancelled or altered until ten (10) days after written notice of any change has been sent by registered mail to the Purchasing Department of Marlboro County School District.
