INVENTORY MANAGER

REPORTS TO:PracticeOwner orHospital Manager

The Inventory Manager handles and/or oversees the purchasing functions for the hospital ensuring that stock remains at a functional level while remaining profitable.

AGE REQUIREMENT

Minimum 21 years old.

EDUCATION REQUIREMENTS

High-school diploma required

2-year College Degree preferred

EXPERIENCE REQUIREMENTS

Knowledge of veterinary products and their uses is required.

PERSONAL REQUIREMENTS

  • Genuinely enjoys working in an animal-related field and the environment that goes along with working with animals.
  • Physical Effort: Work requires the ability to exert a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects and boxes; good limb agility a must. Tasks require some bending, stooping, crouching, and reaching. Must be able to physically operate a variety of machines and equipment including computers, office equipment, telephones, etc.
  • Working conditions: May be exposed to unpleasant odors, noises and animal feces. May be exposed to bites, scratches and contagious diseases. Some storage facilities are not climate-controlled, therefore exposure to heat and cold for short periods of time is possible.

Planning

  • Use reports and growth forecasting to determine the best purchase amounts to promote a healthy product turnover and avoid stock outages.
  • Meets with vendor representatives to stay abreast with new products, specials, and other pertinent details.
  • Meets with hospital’s veterinarians/staff to discuss best use of product and product alternatives to promote product consolidation.
  • Stay current with product obsolescence, product unavailability, and regulatory restrictions that may disrupt the inventory planning process.

Purchasing Duties

  • Handles or oversees all purchasing activities complying with clinic policies.
  • Handles or oversees inventory purchase requests from hospital personnel.
  • Handles or oversees that competitive pricing is being given, handles vendor selection.
  • Handles or oversees preparing purchase orders.
  • Maintain appropriate levels of “quantity on hand”, “reorder level”, and “reorder quantity” in the veterinary software.
  • Handles or oversees the organization of paperwork for received orders.
  • Handles or oversees backorder and inaccurate order follow through.

Receiving Duties

  • Handles or oversees delivery receipt and unpacking protocol.
  • Handles or oversees matching of shipment documents with shipment contents.
  • Handles or oversees matching of shipment documents with original P.O.
  • Handles or oversees that each invoice is broken down into expense categories.
  • Handles or oversees that the administrator receives copies of P.O.’s and shipping documents once reconciled.
  • Handles or oversees computer receipt of all inventory items to reflect accurate inventory-on-hand values.

Stock Management

  • Handles or oversees distribution of inventory to the correct areas of the hospital.
  • Handles or oversees rotation of stock supporting the “first in-first out” theory.
  • Handles or oversees returns of overstock, short-dated, or outdated items to vendors for credit.
  • Handles or oversees inventory counts as directed by the Hospital Manager or Accountant.

Reviewing

  • Handles or oversees the updating of computer sales prices to reflect accurate product markup or margin.
  • Handles or oversees the minimization of product duplication to promote consolidation.
  • Handles or oversees that no outdated or recalled stock is available for sale.
  • Handles or oversees identification of waste within the inventory department and takes corrective action.

Other Duties

  • Supervises and trains other personnel who have responsibilities in the inventory department.
  • Develops department protocols to promote efficiency and quality inventory control.
  • May be asked to handle other inventory-related duties not outlined if deemed necessary.
