REPORTING THE PERCENTAGE OF FEEDBACK RETURNED WITHIN 20 WORKING DAYS: 2013-14

The revised policies on the Submission of Assessed Work, Feedback on and Return of Assessed Work took effect at the beginning of the 2012/13 academic year. For 2012/13, academic units were asked to report their adherence to four core requirements. For the 2013/14 academic year, academic units are asked only to report on the percentage of feedback returned within twenty-working days. Academic units must report specifically on BOTH the percentage of feedback on coursework returned within twenty-working days AND the percentage of feedback on exams returned within the stated policy deadline. Any assessment with an exemption on feedback turnaround time should not be included in the percentage figure but should be noted on the form below.

If academic units are involved in partnership activity, including programmes on overseas campuses, then the percentage of feedback returned on time must be submitted for those programmes as well. In these cases, the figure reported for any partnership programme should be reported as separate from the figure for its affiliated Newcastle campus programme.

In support of the reporting requirement in the policies, all academic units must record the following information:module code, description of assessments, number of students, due date/date of exam, date on which feedback was due, and date on which feedback was returned. Units may wish to track additional information to assist in the management of feedback turnaround time. Units can use any mechanism to record this data as long as it is accessible to scrutiny if/when necessary; a table is provided here if no existing mechanisms are in place.

Academic units must also submit reports to FLTSECs (see attached template), according to deadlines set by each Faculty. Faculties may ask to see Semester 1 data, and all academic units are required to submit figures for the full year before the date set by FLTSEC (no later than September 2014). Units may also wish to submit full records to FLTSECs to support their report, and deans and quality teams may request additional information from units as necessary. A sample of academic units/modules mayalso be selected for greater scrutiny and to ensure that appropriate records are being maintained.

Reports must be approved by the relevant Head(s) of Academic Units, and the data should be considered by the appropriate Board(s) of Studies at their first meeting of the following year. If an academic unit is governed by multiple Boards of Studies, the unit may choose to submit one compiled report or multiple reports.

Reports must be submitted to FLTSECs in accordance with set Faculty timelines. Faculties must receive the reports by September 2014 and pass any minutes to QuILT in time for a summary to be prepared for the October 2014 ULTSEC.
