Organisational Requirements

  1. Exercise sound judgement and maturity when dealing with confidential and sensitive information and matters;
  2. Respond in a welcoming and friendly manner to enquiries at the reception counter and telephone calls and emails from parents, students and staff, providing information, referring them to the appropriate person and giving assistance as required;
  3. Assist with the maintenance of the Student Record database;
  4. Assist to maintain student records in a timely manner in relation to late arrivals and absences in accordance with current office procedures;
  5. Assist with contacting parents and arranging for unwell students to go home as required;
  6. Ensure all sickness, accidents and incidents are recorded appropriately;
  7. Receive and process payments made by parents, staff and students at the reception counter in accordance with office procedures.
  8. Assist with the coordination of the production of a variety of College documents including: exams, student reports, newsletters, booklets, correspondence and literature;
  9. Assist with the maintenance of office equipment including photocopier use, printer replenishment and logging of service calls for equipment breakdowns;
  10. Process internal and outgoing mail in accordance with office procedures;
  11. Assist with bookings for accommodation, catering and travel;
  12. Assist with the purchase of College resources, including liaison with suppliers regarding service and pricing. Prepare requisitions for purchase as directed by the Business Manager or Principal;
  13. Assist with filing, archiving and distribution of information to the school community;
  14. Participate in team meetings, staff training and other development activities as required.
  15. Perform other duties as required by the Principal or Business Manager.

Key knowledge, skills and abilities

  1. Certificate II in Business Administration or equivalentAppropriate qualifications in business or office administration at Certificate II or higher and/or demonstrated relevant experience deemed the equivalent;
  2. Catholic Education in Tasmania requires the preferred applicant to be subject to employment screening including (but not limited to) working with Vulnerable People Registration and a National Police Criminal History Check
  3. Accreditation Strand One: Accreditation to Work in a Catholic School and/or willingness to work towards
  4. Current Motor Vehicle Licence
  5. Demonstrated ability to maintain confidentiality as appropriate and to handle sensitive matters with discretion, tact and empathy;
  6. Thorough understanding of and the ability to provide, a high standard of customer service;
  7. Well developed communication and interpersonal skills and ability to communicate with people at all levels;
  8. Sound knowledge and skills in office administration including the ability to operate a wide range of office equipment (including photocopiers, facsimile machine, binders, ICT);
  9. Ability to operate a wide variety of computer software including Filemaker (or similar student records software), Word and Excel;
  10. Ability to make sound judgements and solve routine administrative problems with reference to established techniques and practices;
  11. Understanding of Workplace Health and Safety principles and commitment to contributing to the maintenance of a safe working environment;
  12. Ability to use initiative to manage several tasks to ensure work priorities are achieved;
  13. Ability to work independently or with direction as part of a team

Desirable

  1. First Aid Certificate – Workplace II.

$47,968 - $49745 plus superannuation – pro rata arrangements will apply.

*Remuneration will be based upon the provisions of the Tasmanian Catholic Education Single Enterprise Agreement 2015 depending on qualifications and experience
