As of early June, over 85% of organisations delivering Commonwealth funded aged care services have registered for access to the My Aged Care provider portal and are in the process of updating their service information to be displayed on the public service finders; as well as receive referrals for service from July. Thetable below outlines critical information for providers to finalise their preparations in advance of 1 July 2015.

Ensuring that your service information is displayed correctly in the finders on the My Aged Care website / You have until close of business 19 June 2015 register your administrator and ensure access to the provider portal before 1July.
From 19 June, while registration is still available, DSS is not able to guarantee set up such that referrals can be made to the provider by 1 July 2015.
The service finders will reflect service information that is in the new My Aged Care provider portal from Wednesday 1 July 2015. What you need to do to have your services displayed and ready to receive referrals:
  • check the data that has been migrated
  • ensure any service items that are NOT correct are displayed as not operational
  • set to ‘operational’ any service items that you do want displayed on the service finder
  • assign any new service items required to outlet(s)
  • assign staff to your service outlet(s) ensuring you haveat least one with the role of Team Leader for each outlet, and that the staff complete their set up
  • make sure any outlet you want to display is set to active.

Specifically for organisations providingCommonwealth Home Support Program (CHSP) / Electronic service referrals through My Aged Care will commence from 1 July 2015 (except in WA and Victoria). / Ensuring services are correctly activated in the portal and staff are set up will mean that your information is available on the public service finders, and ready for the contact centre and the Regional Assessment Service to use in referring new clients to you. You should have staff in place to manage referrals through the provider portal from 1 July 2015.
It is important to set the availability for each service type within outlets to correctly indicate your capacity to provide a service and therefore receive new client referrals – where you don’t have immediate capacity to take on new clients please correctly set this to ‘not available’ (for your service will still appear in the finder).
For the majority of CHSP providers all new service types have been made available to activate in the My Aged Care provider portal. / For any service types that have migrated that you do not currently provide simply make sure these are set to ‘not operational’.
Specifically for organisations providingHome Care Packages / Referrals may come through from My Aged Care from July 2015, in advance of ACATs transitioning to use My Aged Care.
Please ensure your service type information is correctly reflected. / Clients who contact My Aged Care with existing ACAT approvals, may choose to have referrals to service providers issued though the system or take a referral code from July 2015.
Clients that come to you directly should only be redirected to My Aged Care if they have not had an approval.
The new My Aged Care provider portal allows for you to differentiate availability of different package bands (‘level 1&2’ or ‘level 3&4’) by service outlet. Providers must ensure that they add this information as it is not automatically loaded.
Specifically for organisations providingResidential Care / The current system for updating service information on My Aged Care, including publishing of Accommodation Pricing, will be disabled from 26 June 2015. From this date updates must be made through the My Aged Care provider portal.
The July 2015 changes of the Maximum Permissible Interest Rate (MPIR) will be automatically reflected in the new My Aged Care provider portal.
Referrals may come through from My Aged Care from July 2015, in advance of ACATs transitioning to use My Aged Care. / Access to update Facility information and the Accommodation Pricing information through the portal currently used will be disabled at close of business on Friday 26 June 2015. Per previous advice any changes to service information or pricing made through this portal since the beginning of May 2015 have not been automatically migrated into the My Aged Care provider portal. Changes to service information or pricing since May 2015 must have been made through the My Aged Care provider portal for them to be reflected in the public service finder from 1 July 2015.
The July MPIR will be automatically applied to allRefundable Accommodation Deposit (RAD) held within the new My Aged Care provider portal as at 26 June 2015. You will be able to amend these figures if required on 29-30 June 2015, prior to them being published on the website on 1 July 2015.
Clients, who contact My Aged Care with existing ACAT approvals, may choose to have referrals to service providers issued though the system or take a referral code from July 2015.
