Quick Start Guide – Video Conference Call

  1. Login to PC using local login:
  2. Login: epics-25\gtm
  3. Password: epics-1098-gtm
  4. Turn on the camera using the remote.
  5. Log in to GoToMeeting:
  6. Login:
  7. Password: EPICS1098C
  8. Click ‘Share my Webcam’.

Quick Start Guide – Design Review

  1. Follow steps 1-3above
  2. Have the Podium PC join the GoToMeeting
  3. Meeting ID 189-368-741
  4. Change presenter to the podium.
  5. Make sure podium PC is muted.
  6. Select ‘Show my Desktop’ at the Podium

Note:

The Podium PC should always be muted.

The Moderator PC should always be unmuted.

Complete Remote Design Review Instructions

1)Login to PC using the local login:

  1. Login: epics-25\gtm
  2. Password: epics-1098-gtm

2)Use remote to power on the Vaddio video camera

3)Go to Internet Explorer

4)Choose Log In button

5)Login:

Password: EPICS1098C

6)Start the meeting

7)If you are asked to install GoToMeeting Choose Run. Otherwise skip this step.

8)Mute the speakers on the computer until it is time for questions

9)Make sure you have selected the mic and speakers radio button.

10)Click on Share my webcam to share video camera

11)Once the person at the podium has joined the meeting you will need to make them the presenter so everyone can see the presentation.

12)Monitor the Chat window and adjust the camera as necessary. You will read the questions from the reviewers during the “questions and answers” after the students present.

13)Do not log off or leave/end the meeting unless you are the last design review of the day!

Troubleshooting

Call and text the Lab Manager at (765) 414-2107 immediately


  • Connectivity Issues:
  • GoToMeeting does not launch
  • Open JoinGoToMeeting.com.
  • Install the applet.
  • Verify you are using the correct login.
  • Verify presenter and remote reviewers have used the correct Meeting ID (189-368-741).

Audio Issues

  • Periodic Beeping
  • This tone is played by GoToMeeting to let you know you are the only participant in the meeting. When a second person logs in, the tone will stop.
  • Audio Feedback
  • Mute the podium computer
  • Make sure the webcam is not plugged into the podium PC
  • Reviewers using mobile devices or notebook computers with mic and speakers can introduce feedback.
  • Ask them to use headphones to limit feedback.
  • Ask them to switch from mic and speakers to telephone audio within GoToMeeting.
  • The phone number will be provided by GoToMeeting when this option is selected.
  • No audio output through the conference room speakers
  • Make sure the moderator computer is not muted
  • Check the mixer inside the podium
  • Master and PC outputs should be set to mid volume
  • Remote reviewers can not hear
  • Check that the mics are not muted.
  • Check the Moderator has ‘mic and speakers’ selected for audio.
  • Ask reviewers to switch from mic and speakers to telephone audio within GoToMeeting.
  • The phone number will be provided by GoToMeeting when this option is selected.

Video Issues

  • Reviewers cannot see the room
  • Make sure the camera at the rear of the room is on.
  • Make sure the moderator has selected ‘Share my Webcam’.
  • Reviewers cannot see the slides
  • Have podium presenter select ‘Show my Desktop’.
  • Projector doesn’t display podium PC
  • Refer to podium projector instruction sheet.
