QUESTIONS AND ANSWERS
QUESTION 1
My query concerns the activation points at the Toll Plazas.
Please indicate the numbers of flyers to be handed out at each Toll Plaza on each of the 3 days.
The rate per flyer is dependant on the numbers of flyers handed out.
Last year when we did the Comrades for RAF the numbers were as follows:
Plaza / Direction / Quantity
Mooi / South / 12000
Oribi / North / 18000
Tongaat / South / 10000
Total Number of Items: / 40000
The original request last year was for a higher total number but due to budget constraints RAF advised us to drop the number to 40000.
Must it remain at 40000 this year?
Please advise.
ANSWER:
Activations and promotions at the Toll gates is time based. So the bidder will be expected to quote RAF on hours spent, NOT on the number of flyers distributed.
Booking of Toll Gates, remains the responsibility of the Bidder.
QUESTION 2:
Please advise if we may submit our bids if we missed the site meeting.
ANSWER
Only Bids from Bidders who attended the Compulsory Briefing session will be considered.
QUESTION 3
What happened to the material that was used in the last year’s event ?
ANSWER :
RAF is involved in many different promotional events, such material was used in those events like Two Oceans. Other things are no longer in usable condition.
QUESTION 4
Does the Service Provider pay for the procured material prior to the event?
ANSWER:
The awarded Bidder is expected to manage the entire event, procure and pay for such items as may be required for the event.
RAF pays in 30 days on receipt of invoice.
QUESTION 5
Will the RAF re-imburse the expenses incurred by the Service Provider, afterwards
ANSWER:
The awarded Bidder is expected to manage the entire event, procure and pay for such items as may be required for the event.
RAF HAS 30 days to pay on receipt of invoice.
QUESTION 6
Does the RAF have an Enterprise Development Section ?
ANSWER
No.
QUESTION 7:
Will the service provider have to have a Public Liability Insurance?
ANSWER:
Bidder will be required to buy Public Liability Insurance.
QUESTION 8:
What were the challenges experienced from Suppliers in the past?
ANSWER:
No major challenges, as we always organize compulsory briefing sessions to clarify the scope.
