PTO Exec Board Meeting Minutes
January 12, 2017
Meeting called to order at 1:04pm at the home of Carrie Blackford. Those in attendance were Georgina Greenyer, Sarah McQueary, Julie Houts, Wendy Hauser, Kelly Wagner, Teresa Mayor, Sara Plunkett and Angela Bedell.
Hokki Stools and Standing Stations – Carrie Blackford opened the meeting by presenting a need to vote for 48 Hokki stools and 15 standing stations to be purchased from PTO to MTE. Julie Houts made a motion to approve the vote for the stools and standing station with an amendment to spend up to $8,000 and Sarah McQueary seconded the motion. The vote was approved.
We made note that we have given $16,000 to MTE in the last 2 months.
Bulldog Bolt Sarah McQueery reported that her committee met the previous day and are moving right along. They will meet again in Feb. She reported that they have $3,150 raised so far. They will be reaching out to more people with the goal to raise $5,000 before the event starts. The cost will be $20 per person and it is a flat fee. The race will be a 1 mile walk or a 5k run and it will be timed with a chip and each entry will receive a t-shirt. There will be prizes for each age groups in the run. It will be held on Sunday, April 23 at 4pm with an all school family picnic to follow. There is a professional development day on Monday the next day so there will not be school.
Nominations Sarah McQueary reported that there are several positions on the PTO Exec board that need to be filled. She wants to make sure it is open to everybody at MTE so she is creating a sign-up genius that will come out to the community by Feb 1 and the deadline to submit your name will be Feb 15th. She is hoping to link it to the PTO site. Julie Houts recommended sendingthe link through the office, put in Mrs. Bond’s weekly email and use Natalie’s PALS list to get the word out.
Standing Rules and ByLawsThere was discussion about any changes that needed to be made to theses. Teresa Mayor pointed out article 6 section 1 officers needs to mention President Elect and past President as part of the exec board and we need to take out co treasurer. Another standing rules change is to give the communications person the responsibilities of the Veterans Day Flag display and the directory and calendar. Kelly Wagner made motion to for standing rules and Sarah McQueary seconded the motion. The vote was approved.
Family Bingo NightKelly Wagner reported her committee is busy making plans for the first family bingo night. They sent a Sign Up Genius to see the attendance and decided to split the night into 2 sessions. It will be held in the cafeteria. The first session is K-2nd 6:30-7:15pm and the second session is 3rd-5th from 7:30-8:15pm. It will be electronic with a DJ, snacks and prizes. A Sign Up Genius will be coming out asking for donations for movie candy, pop, etc. There was discussion rather to have a donation jar at event. We decided to alott the event more money since it is our first time having the event and we want it to be positive for all the families. If we get closer to the event and the cost goes above the allotted extra money, then we will decide if we need to put out a donation jar. There was Vote to approve to exceed budget of $400 for Family bingo night by $200 for additional expenses. Wendy moved to approve and Sara Plunkett seconded. The motion was passed.
Pizzeria Locale FundraiserAngela Bedell reported that they will be giving 50% of sales to MTE from 4-9pm on Wed Jan 18th. Angela encouraged us to share the event on Facebook. Sarah McQueary reported there will be a fundraiser event in April with Ivivva and Lululemonthe Thurs before Bulldog Bolt.
Wendy Hauser brought up putting up a visual about what PTO has donated to MTE the last couple of years. Last year was the sound system and stage curtain. This year is the Hokki Stools, Standing Stations and the 3D printer. Angela Bedell said she would make a display to have up at Family Bingo Night. There was discussion to include it in Mrs. Bond’s weekly email and possibly during registration in Mar/Apr. We would also like to see something more permanent like a plaque from year to year.
Membership toolkit Carrie Blackford and Julie Houts are finding out more information about it. The cost is $750/yr
