BOARD MEETING - TUESDAY, February3, 2015

The January minutes were presented to the group and a motion was made to accept them into the record as proposed. Seconded motion & motion was approved. Attendance was taken.

OFFICER REPORTS

President Report: Erica Carter–President notes

1. Please note the change of the date of the PTA General Meeting to Friday Feb 6th at 6:30pm prior to movie night.

2. Please start to consider you role on the PTA board for the 2015-2016 school year. After a relaxing summer break, it will be nice to come back next year and make our school great.

3. I present the nominating Committee who will determine the slate for the 2015-2016 Executive Board per our PTA Bylaws:

NOTE: I will process check request on Friday February 20. I will then be unable to pick up check request until Friday March 6. You will receive reimbursement via back pack on Monday March 9.

Programs Report: Amy Grant–Movie Night is Friday Feb 6th at 6:30pm in the gym. Concessions will be sold and volunteers are in place. Tuesday February 10th6:30pm in the gym CSES is hosting the Prevention Council as they will have a program about social media and our children. The discussion is geared to all parents and 4th and 5th grade students.

Membership Report: Molly Westerhold– No report.

Corresponding Secretary: Julie Carey –Get Well card was sent to Meredith Burrow. The Directories have all been distributed, but Ann Currin is copying & giving out as needed. A few folks mentioned that they have extra copies which they can make available for use.

Recording Secretary: Janet Hale – No report.

Principal: Jodi Poff–Greg Killough will be the new Roanoke County Schools Superintendent & comes from Caroline County. He has been the Superintendent in Caroline County since July 2008. He will be visiting Roanoke County for a few days later in February with plans to officially start his new role in April.

Vice Principal: Kim Smith– No report.

Faculty Representative: Colleen Gibbons –Sent a “thank you” to the PTA for the recent soup & salad luncheon.

Hospitality/Staff Appreciation: Cyndi Ramey, Whitney Ross, Stephanie Candelario/ Hospitality –

Thank you to everyone who contributed to the soup and salad luncheon for the staff onJanuary 21st! Looking ahead, on February 17th we are organizing a baked potato barluncheon. The hospitality committee is providing the potatoes and we are asking for thetoppings and beverages as donations. On March 24th the hospitality committee isproviding a “Happy Birthday Staff” cake to celebrate all of the staff birthdays. In Aprilwe are not organizing anything, but gearing up for Teacher Appreciation Week and theend of the year ice cream party, both occurring in May. Thank you!

Special Programs

Community Service: The Ronald McDonald House event originally scheduled for February has been cancelled & they hope to reschedule.

Destination Imagination: Cindy Appel, Christine Croteau – DI will be storing their projects in the PTA closet for the foreseeable future; please be careful when using the closet.

Grounds Improvement: Bill Rand –Report provided on behalf of Bill that the grounds in the front of the school will be cleaned up within the next few weeks.

KICS: Julie Carey, Christie Chubik & Erica Moseley– Classes start next week. There are a total of 15 classes & 182 students registered. Erica Mosely is still lining up volunteers – contact her if you’d like to assist.

Reflections: Pam Taylor, Sharon Virostek– Letters of thanks and the next year’s theme have been attached to entries to return to students.Entries are in the process of being returned to the children.

Thank you notes have been sent to judges and donors.

Run Club: Tamalyn Tanis- No report.

Safety: Michelle Musser – No report.

Spirit Gear: Emily Murray – No report.

Volunteers

Library: Jackie Martin – Birthday Book Club information will be going out with in the next few weeks. Please consider purchasing a book in your child’s honor for our library. We plan on having a party for the children who purchase as we have in the past.

Reading Liaison: Amy Grant–No report.

Homeroom Parent Coordinator: Susan McQuade– Class party money balances are:

A notice to third grade parents for additional money will go home on Friday.

Volunteer Coordinator: Rebecca Wiegard, Stephanie Weddle–No report for the position, but congratulations to Rebecca on the birth of her new baby.

WAYS & MEANS

Barnes & Noble Event: Mary Tershak, Kristen Kurpe–B&N event was a huge success. Friday activities were cancelled due to weather. Saturday was a full day of activities. Mrs. Schaefer’s students read a readers theatre format. Mrs. Schaefer and Mrs. Hatcher had reading time. We had 3 authors at the event promoting their books. We raised $418.00 through the event. Many students and teachers attended the event.

Bingo Night: Beth Smith- Our Spring Fundraiser will be a Pancake Dinner and Bingo Night on Friday, March 13 from 6pm – 8:30pm. Cave Spring Volunteer Firemen will be cooking pancakes for dinner which will be served from 6-7. Bojangles has agreed to donate bacon and sausage for the event. The firemen will also be bringing a fire truck for kids to tour. Bingo will begin at 7. Prizes for bingo will be gift cards. Secondary game winners will receive candy or small prizes. We have requested teacher time raffle items from teachers and staff. Chances for these items will be sold for $1 and will be sold prior to and the night of the event. Kids can submit tickets to raffles the week of the event through the help of the SCA or at Bingo night. Additionally, we will have several school related silent auction items available the night of the event. The 5th grade students have also been working on a global project based on a specific country that culminated in the decoration of wooden chairs. The 5th grade teachers have offered these chairs to the PTA to be included in our silent auction. We are continuing to work on securing donations of supplies and gift cards for the event. Additionally, we have secured some corporate sponsors but are in search of more. Reservation forms for dinner and presale raffle tickets will be sent out on February 23. Presale dinner tickets (which include 1 bingo card per person) will be $5/person or $20 family max. Tickets will be $6 per person or $25 family max at the door. Additional bingo cards can be purchased for $1. Requests for volunteers will be sent out via Sign Up Genius several weeks prior to the event.

Incentive Rewards: Lori Moyer & Amanda Bass – Chipotle Night is scheduled for February 24 from 3-8pm.

Trick or Treat Night: Nicole Pardon, Justin Dudley, Tammy Morstad–No report.

Art Sale: Molly Westerhold– Art items have been picked up from Mrs. Wimer. Each student made art based on their hand & each class had a different theme (example Kindergarten followed the style of Warhol). Parents will be able to purchase many items such as notecards, mugs, keychains, mouse pads, garden flags, etc. & the PTA will receive approximately 10% of the items sold (some items may earn a higher percentage & some lower). Information will be sent home on March 18, with a deadline of March 26th in order to have items back by April 30 in time for Mother’s day.

Read-a-thon: Kathleen Thorell, Erica Carter, Meredith Burrow–

  1. Read a thon has ended and we are collecting pledges.
  2. Huge thank you to Jackie for counting money.
  3. Barnes and noble events were a huge success.
  4. Thank you Mary and Kristen for all your work. Thank you to Mrs. Schaefer and her Readers Theatre, Mrs. Hatcher and the authors.
  5. Book Donation to CHIPS- Over 550 books collected. All kids received a dumdum and sticker.
  6. Thanks to great volunteers coming in early that morning!
  7. Thank you to Carol and Abby (Community service for delivering the books).
  8. Read a thon Total minutes: 223,000 and total pledges to collect about $10,000.
  9. We will have about $1000 of expenses
  10. Since last meeting, every student has received a read a thon bookmark, had hat day, Dr. Seuss dress up day, chew gum day, and PJ day.
  11. Great volunteer team to tally 3 times.

  13. Winners will be announced all week via announcements, posted in display case and announced at movie night and posted in newsletter. A letter will go home in book bags on Friday Feb 6th.
  14. We have medals for class top readers. They are engraved- super cool! We will hand them out at the donut party on Feb 12.
  15. We have books for grade top readers.
  16. Meredith Burrow is printing gift certificates and ordering water bottles for the259 students who read over 250 minutes.
  17. NOOKS- We will have the drawing for the 4 levels of readers to win a NOOK.
  18. Donuts with Poff/Smith will be feb 12 at 8:00am in art or library room. We will hand out medals/books then.
  19. Cookie and Deb's lemonade parties will be fridayfeb 13 at 1:15.
