FUNCTION OF DEPARTMENT / The Conflict, Humanitarian & Security department’s Operations Team (CHASE/OT) is contracted through Crown Agents by the Department of International Development (DFID) and the Stabilisation Unit (SU) to provide support services and an operational team delivering advice and assistance on humanitarian disasters and emergencies.

MAIN JOB PURPOSE / To manage the delivery of Crown Agent’s Humanitarian Assistance service package to DFID in accordance with the contract.
MAIN RESPONSIBILITIES OF JOB /
- Provide administrative support within the CHASE OT Deployments Team according to prioritised needs. This will include:
- Support the deployment, management and demobilisation of staff to UK and overseas including liaison with DFID offices and UN agencies, arranging travel, monitoring attendance and leave and liaison with the Logistics Section on equipment.
- Undertake liaison with the Security Adviser on duty of care requirements and issues and acting as the first point of contact for deployed consultants on security issues.
- Drafting of project budgets and forecasting. Reconciliation of project accounts and reporting to the client.
- Provide administrative operational support to DFID/CHASE emergency engagements and response.
- Administer financial and general reporting to the client, including budgets, spend and forecasts and attend finance meetings with CHASE Programme Managers alongside or in lieu of the HDM where required.
- Assist with routine administrative reporting as required.
- Assist in the promotion & encouragement of consistency, integrity and transparency across CHASE OT.
- Develop knowledge of international response architecture and humanitarian response operations.
- Undertake reasonable, specific duties as required by the Deputy Director or appointed Line Manager.

Qualification / A levels or relevant qualification
Experience / Experience in administration and expense management,
Experience of dealing with staff working or deploying overseas.
Experience of managing induction and deployment processes would be an advantage
Outstanding organisational skills in terms of planning, managing information, controlling timelines and meeting deadlines
Strong communication and interpersonal skills, and proven experience of building excellent working relationships, both internal and external.
Proven ability to communicate complex procedures and situations to varied stakeholders/clients
Proven ability to deal with a varied, demanding, often conflicting and rapidly changing workload.
