CONDITIONS OF ENTRY

How to enter

  1. Conditions of Entry: A completed entry whether posted or emailed acknowledges understanding and acceptance of all Conditions of Entry to this event. The entry form can be found at the end of the program and is easy to fill in with predefined fields, tick- and drop down boxes. This event will be conducted in accordance with the current EA/EWA Show Jumping Rules.
  2. Competition type: All classes unless are UNOFFICIAL in line with EA policies.
  3. Entry method and payment:Please fill in the entry form included at the end of this document and submit it to Mette Wendler. Entry forms can be submitted either via email or by posting it to 1105 Lacey Road, Parkerville 6081.Please transfer entry fees to ANZ BSB: 016359 A/C: 384969397 using your surname and initial as reference e.g. A NOTHER. Entries without accompanying payment will not be accepted.

  1. Closing date for entries: All entries must be received by Midnight Wednesday13th November 2013. No late entries will be accepted.
  2. Entry fees: for members of Hills Sports Riding Club Inc. the entry fee per competition round is $18. For everyone else it is $23 per competition round. Training rounds cost $18 per round. Show Jumping levies and first aid levies are charged for all rounds as outlined below.
  3. Levies are charged at $2.50 per round to a maximum of $15 per competitor in line with WASJA policies.
  4. Brookleigh charges a ground service fee per horse of $13, which is payable with the entry for the competition
  5. In line with WASJA policies professional first aiders are required during the competition. Consequently, a first aid levy of $6 per round for both competition rounds and training is charged
  6. A maximum of 3 rounds can be ridden per horse across 2 consecutive heights. Please note that if entry numbers exceed capacity the Organising Committee reserves the right to limit competitors to 2 rounds. If applicable the Committee will contact affected riders to confirm, which classes they would want to ride.
  7. Minimum number of competitors per class. The Organising Committee reserves the right to cancel classes with 2 or less entries for all classes other than training rounds. Should 3 riders have entered but an entry is withdrawn / scratched post the date of entry, the class will still be held. Should the situation arise that less than 3 entries are received for a class, the rider(s) will be contacted and be offered to enter another class, get a full refund or the opportunity to jump the round as a training round.
  8. Helper deposit: A compulsory $50 helper fee must accompany the entry. Riders are able to self help and/or supply the name, phone number and/or email address of an adult, who is able to write (pencil), gear check, marshall, help in the warm-up arena, set up (late Saturday afternoon) or pack away jumps as well as putting up jumps between classes for up to 1.5 hour.
  9. Helpers must report to the Organiser’s Office to sign in for their duty in a timely manner.
  10. The $50 will be refunded in cash upon completion of the helper duty.
  11. NB: Helper Deposits must be collected at the event, they will not be reimbursed at a later date.
  12. Refunds will be given if your helper is allocated a task, and it is completed, you carry out your self-help task, or you supply the name of a helper and a task is not allocated (i.e. if you are not allocated a task despite offering, you are still eligible to receive your helper refund).
  13. The list of helper duties will be available with the draw.
  14. The Organising Committee will endeavour to meet your preferences and recognise distance to travel for competitors.
  15. Please indicate your preferred helper duty with your entry.
  16. Draw: A preliminary draw will be available on Tuesday 19th November with the FINAL DRAW available Thursday 21st November. Please note that riders will be required to start in the order of the final draw.
  17. Dress code: Competition attire is required for the competition in line with EA Show Jumping requirements. For training rounds, either competition attire or light jodphurs and a dark top may be worn. HSRC Inc. recommends that riders under 18 years of age wear a body protector.
  18. Number of entries: The competition will run one competition arena only. Should entries numbers exceed the capacity of the competition, the Organising Committee reserves the right to restrict numbers on a first come first serve basis.
  19. Entries on the day: No entries on the day will be accepted.
  20. Disclaimer of Liability: Neither the Organising Committee, nor Hills Sports Riding Club Inc., accepts any liability for any accident, loss, damage, injury or illness to horses, owners, grooms, spectators or any other person or property whatsoever. ALL EWA and Hills Sports Riding Club Inc. sign a disclaimer form when joining.
  21. Cancellations / withdrawals Cancellations prior to entries closing will be refunded 100%. Cancellations prior to the preliminary draw posting will receive 50% of test fees, no levy refund and may receive helper duty deposit back if they undertake a helper duty, or upon presentation of a medical or veterinary certificate. Cancellations after draw posting will receive no refund, even on presentation of any documentation, and may only receive helper duty deposit back if they undertake a helper duty. Note that all levies collected will be paid to EWA by Hills Sports Riding Club Inc. as required.

COMPETITION INFORMATION

  1. Start times and start order: Competitors should note that the start order will not vary from the FINAL published draw available Thursday PM before the competition.
  2. Presentations will take place at the end of each class. Presentations are mounted in the main arena in competition attire. The Organising Committee retain the right to amend the presentation schedule should the need arise. As a courtesy to sponsors, organisers and other competitors, all placegetters are expected to be in attendance at the presentations. Competitors are strongly encouraged to acknowledge the generosity of our sponsors either in person or in writing, details of which will be provided.

  1. Code of Conduct: Please ensure you are familiar with the Equestrian WA Codes of Conduct. Please refer to the EWA website for more information
  2. Kicking horses: If you know or expect your horse to kick around other horses in the warm-up it is a requirement that you indicate this by wearing a red ribbon in the tail (to be removed before entering the competition arena). This will alert other riders to a potential risk.
  3. Catering: Food and refreshments will be available for purchase throughout the event.
  4. Change of rider: Riders may be changed before close of entries. No changes will be accepted afterwards.
  5. Dogs must be on a leash at all times and managed by an adult. Unruly dogs will be asked to leave the event.
  6. Protests and appeals: These must be in writing and accompanied by a fee of $100. Attention is drawn to current EA rules.
  7. Ground jury: The Ground Jury consists of the judge at the event.
  8. Helmets: Our insurers have imposed the following requirements: ?Any person on horseback is required to wear a recognised safety standard approved helmet at all times. Riders are to understand that their EA members insurance may be rendered void in the event of an accident/injury, wherever it may occur, if found to have not been using an approved helmet. Helmets marked as follows are approved for use: AS/NZS 3838:1998 (Australian and New Zealand Standard); EN 1384 (Current European Standard); ASTN F1163 (Current US Standard).
  9. Warm-up etiquette: Riding rules for warm up areas as documented in the EWA Handbook and reproduced in this entry pack should be adhered to. Correct protocol in the warm up arena is expected. There is no lungeing in the warm up arena. If you wish to lunge your horse you must do so in the enclosed arenas adjacent to the C-Quest arena. NB: Dangerous and unruly horses whether being lunged or ridden may be asked to leave the warm up arena or lunging area for the safety of other competitors.
  10. Officials, ground staff and volunteers: These people are essential in the running of our competitions and events. Please treat them with respect. Poor sportsmanship will not be tolerated. Verbal or physical bullying behaviour will be reported to the CEO of EWA and disciplinary action will be taken where appropriate.
  11. Duty of Care: It is your responsibility to promptly report unsafe and or hazardous situations to the Organising Committee.
  12. Stallion Code of Conduct: The EA has introduced new strict rules relating to the handling of stallions at events. If this Code is adhered to, the likelihood of an accident involving a loose stallion will be minimized. It is understood that "accidents" can happen but taking all possible precautions and making all riders aware of the presence of a stallion minimizes the possibility of accidents. Competitors with stallions should refer to the EA for the most recent guidelines on how to handle stallions including what gear is required including the “green disk” to be displayed.
