Procedures for Laboratory Visitors

PROCEDURES FOR LABORATORY VISITORS

FM CONTRACTORS
YELLOW FOLDER / COMPANY REPRESENTATIVE CONTRACTORS
BLUE FOLDER / SHORT TERM VISITORS
(1 week or less)
BLUE FOLDER / LONG TERM VISITORS
(1 week to 1 year)
WHITE SAFETY FOLDER

There are four types of laboratory visitors:

  1. FM Contractors booked through FM Assist- for example plumbers and electricians employed by Brookfield
  2. Company Representative Contractors who are organised by yourselves to commission and repair equipment
  3. Other short term visitors to laboratories. (1 week or less – inspections etc.)
  4. Long term visitors- doing experiments in the laboratory (1 week to 1 year)

1)FM CONTRACTORS

Induction is not required if FM contractor is accompanied by staff member and no work is performed in the laboratory

If FM contractor is unaccompanied and/or performing maintenance or repairs in the laboratory:

  • Perform visitor induction (HS630) – required annually for each contractor
  • For new contractors, record name and other details as required in the log sheet in the front of the folder (HS801)
  • If the Contractor is performing laboratory repairs or maintenance, fill in a Clearance Certificate(HS700) and give contractor a copy
  • File all the forms in the YELLOW FOLDER

2)COMPANY REPRESENTATIVE CONTRACTORS

Induction is not required if contractor is accompanied by staff member and no work is performed in the laboratory.

If contractor is unaccompanied and/or working/setting up instruments in the laboratory:

  • Complete contractor evaluation, required annually for each contractor
  • Perform visitor induction (HS630) – required annually for each contractor
  • For new contractors, record name and other details as required in the log sheet in the front of the folder (HS801)
  • File all forms in the BLUE FOLDER

3)SHORT TERM VISITORS TO LABORATORIES

Induction is not required if visitor is accompanied by staff member and no work is performed in laboratory

If visitor is unaccompanied and/or working in laboratory:

  • Perform visitor induction (HS630)
  • File all forms in BLUE FOLDERunder short term visitors

4)LONG TERM VISITORS PERFORMING WORK IN LABORATORIES

  • Requirements as per WHITE SAFETY FOLDER

Reporting locations:

F10 CHEMICAL SCIENCES: report to the School Office on level 3, room 310

H6 TETB: report to TETB level 3, room 347

The following technical staff can perform inductions on behalf of the Person Responsible for Laboratory (Person Responsible for Laboratory can be referred to as Laboratory Manager in some instances):
