Procedure for the implementation of the EMS in the VMs of KSDC

•Introduction:

The Higher Education Department, Govt. of Karnataka has decided to use a common, secured IT infrastructure for the implementation of the EMS (Examination Management System) among all universities in the state. Therefore, the dept. has requested the e-Governance Dept., Govt. of Karnataka to provide two VMs (Virtual Machine) for each university in the state at the KSDC for the above purposes. Also it has requested NIC to configure NKN connectivity to access the above required VMs between all universities to KSDC. Based on the request of the Higher Education department, the e-Governance Dept., and NKN of NIC-New Delhi have provided the IT infrastructure and secured network access respectively. The above two servers are meant for Application and Database purposes. These servers would be accessible only through white listed IPs of NKN (Mac/IPs of the identified client in the university premises). The NKN connectivity is likely to configure in such a way that any data/file transfer would be in encrypted mode (like SSL VPN) between the source and destination IPs/systems.

It is the responsibility of the university to ensure that the above mentioned security features is configured before going for operation/production. Therefore, IT Co-ordinator of all the universities are advised to check and interact with the concerned officers in the KSDC for the compliance of the above secured access. Sl.no. 2. given below gives more details about the operations

Steps to be adopted:

•Ensure from the Co-ordinator, Higher Education Dept. that two VMs are created in the KSDC and obtain all the login/Access credentials to access the above two servers (VMs) for logging In as well as SFTP & RDP

•Identify one PC/Client system at the university campus to access the VMs for file/data transfer using NKN IPs

• Ensure to configure Firewall set-up at KSDC by filling/requesting through hard copy application form to use SFTP & RDP from the PC/Client system identified in the above step(b)

•Ensure from the Co-ordinator, Higher Education Dept. / KSDC that both VMs created for the university are installed with the following OS, RDBMS and other required tools.

•EMS Database Server(VM)

•Windows Server OS Ver. 2012

•MS SQL Server RDBMS Ver. 2012

•MS SSRS 2012

•MS SSIS 2012

•EMS Application Server(VM)

•Windows Server OS Ver. 2012

•IIS 7.5

•The EMS database should be installed in the Database server(VM) and the Application software modules should be installed in the above mentioned EMS application Server(VM) by the IT the co-ordinator of the university

•The detailed procedure on the installation of the EMS software with the Exe/application software are made available in the respective folder of the university of SDC server and the same can be used by downloading to your local system using FTP from the university campus

•The above EMS software shall have to be installed by the IT co-ordinator using the NKN secured IP system as mentioned in the previous steps

•IT co-ordinators of the universities are responsible to take regular backup of the two VMs once the real time operations started ( in the production environment)

•The Registrar Evaluation or IT co-ordinator would function as the System/DB administrator and ensure that the access credentials are kept secret

•No one from any location with any of the device/smart phone/PC can access the above proposed two VMs other than the identified PC/Client system in the university

•The details on the installation/web configuration of EMS is not mentioned in this document because this document may not be available in the public domain

Pre-Request for EMS installation/Operation:

•The IT co-ordinator of the concerned university shall have to ensure that the porting of data from the previously used DB to the EMS data format (18 tables)

•The detailed procedure for porting in to the 18 table already given to all the universities

•Create MDB of the above ported DB and install it in the DB server (VM) through secured NKN connectivity from the client system of NKN IP identified and configured earlier

•Undertake functionality checking/Test of the EMS by involving domain experts of the university after the installation of the EMS in the above two VMs

•It is necessary to connect enough number of PCs in a LAN and the LAN shall have to be connected with the NKN secured connectivity to undertake the EMS functionality Test

•If all the functionality Test of the EMS satisfies the domain experts of university in terms of Moderation, Gracing, Result processing, Statement of mark sheet printing, Ledger printing, etc, then send a satisfactory report/User Acceptance Test(UAT) certificate as per the format given below to NIC/HED/KSHEC, otherwise, Consolidate all the feedback of the domain experts and communicate to the to the co-ordinator of the Higher Education dept., with the copy to NIC, KSHEC for incorporation/enhancement, etc (if any)

•Once the EMS system is made to function as per the requirements of the university, please ensure to truncate all the unwanted/Test transactions which were created during the functionality checking/Test by the domain experts and start the production activities

USER ACCEPTANCE CERTIFICATE FOR EMS SOFTWARE

This is to certify that the functionality test of the EMS/EASE provided by the Higher Education Department, Government of Karnataka has been conducted by the User Acceptance Test (UAT) team constituted by the University and the team has successfully tested all the required functionalities of the system by using all possible test cases .
