POST: Volunteer Coordinator

RESPONSIBLE TO: Senior Manager

RESPONSIBLE FOR:Volunteers

HOURS: 37.5per week

MAIN OBJECTIVES:

To design, develop and coordinate Missing Link’s volunteering programme, which will involve volunteers in a range of Missing Link, Next Link and Safe Link advice, support and information services. This role will recruit, train, support and supervise volunteers in a variety of roles across the organisation. Additionally, the Volunteer Coordinator will liaise with external organisations to promote Missing Link’s volunteering opportunities.

DUTIES AND RESPONSIBILITIES:

  1. Volunteer recruitment, training and support

1.Plan the promotion, recruitment, training and support of volunteers, working with the management team as appropriate

2.Work with Team Leaders and other managers to understand their services, how they work and assess their volunteering needs to develop new volunteering opportunities in the services

3.Review volunteering role descriptions based on the needs of the organisation.

4.Promote volunteering (internally and externally) through recruitment and campaigns, and develop and maintain links with local community groups and other organisations and businesses

5.Co-ordinate volunteer applications, arranging / conducting initial meetings, obtaining references and safeguarding checks, and liaising with the appropriate service/project managers.Ensure recruited volunteers are appropriately matched and trained for a volunteer positions

6.Arrange an induction programme for all volunteers, liaising with the appropriate service/project managers

7.Provide one to one and group supervisions and also ad hoc support including social

Events

  1. Volunteer management
  1. Provide supervision and support to volunteers working across Missing Link, Next Link and Safe Link services
  2. Be responsible for all aspects of the day-to-day running of the volunteer programme including the management and co-ordination of rotas
  3. Monitor volunteer satisfaction and work with the management team / service managers / staff to maintain good levels of satisfaction
  4. Develop good practice policies and procedures in volunteer management and ensure staff are fully trained in these practices.
  1. Partnership working

1.Develop partnerships with relevant organisations that reflect the diverse population of Bristol to ensure volunteers also reflect the demographic profile of Bristol.

2.Generate referral pathways with partnership organisations to facilitate recruitment of volunteers.

3.Promote and champion the role of volunteers, both internally and externally

  1. Marketing and promoting volunteering opportunities
  1. Maintain a range of marketing materials in accessible formats to promote Missing Link and its volunteering programme
  2. Attend events, such as volunteer fairs and community events, to promote Missing Link’s volunteering programme
  3. Organise recruitment events, such as workshops and talks, to promote Missing Link’s volunteering programme
  4. Promote Missing Link’s volunteering opportunities via social media, newsletters and

through Missing Link’s website.

5Social Media, communication and events

  1. Together with the manager take a lead on promoting the organisation through social media
  2. Send out regular tweets, update facebook site and news stories on the website.
  3. Keep abreast of events/significant dates to ensure the organisation keeps a comprehensive community presence
  4. Support staff in community engagement events including getting promotional materials ready to take out.
  5. Act as the community engagement lead for the organisation, supporting the planning and coordination of community events and fundraising efforts.

6Monitoring and evaluation

1.Ensure that the impact of the volunteer work is recorded, monitored and evaluated through the maintenance of ourmonitoring systems.

2. Provide reports to the management team, service teams and funders as required

3.Keep up to date with legislation and policy related to volunteering and make any necessary modifications to accommodate changes

4. Maintain volunteer records and other related data

7Fundraising

1.Assist in securing additional resources through funding bids and other methods (e.g. sponsorship campaigns and fundraising events) for the volunteering programme.

2.Explore and develop the setting up of a charity shop run by our volunteers.

8General

1. Uphold the values and good name of Missing Link at all times, represent the organisation in a way that is consistent with its philosophy and ethos and within the Missing Link’s Code of Conduct.

ESSENTIAL CRITERIA:

Qualifications

  • GCSE Maths and English at grades A-C or equivalent

Experience

  • Experience of recruiting, supporting and managing volunteers
  • Experience of giving presentations to small and large groups
  • Demonstrable experience of working in a client-centred environment
  • Experience of delivering training (ideally to volunteers)

Knowledge & skills

  • Sound knowledge and understanding of volunteering issues at an operational level including working with volunteer policies and procedures.
  • Good organisational and planning skills, ability to prioritise workloads; work under pressure andto tight deadlines
  • A high level of written and verbal skills to communicate with a wide range of individuals andorganisations
  • Good level of IT skills and understanding, including strong working knowledge of Microsoft Word, Excel, Outlook, Access, Facebook Twitter or other social media.
  • Good administrative skills, including the ability to develop and maintain appropriate administrative systems
  • Ability to gather and collate information and present it in an appropriate format
  • An understanding of equality and diversity issues, and a commitment to putting equality principles into practice.

DESIRABLE CRITERIA:

Experience

  • Experience of working in a community-based organisation and/or advice setting
  • An understanding of the needs of Missing Link and Next Link’s client base (women and children affected by; mental ill health; domestic abuse; rape and sexual assault).

Knowledge & skills

  • Ability to identify and organise appropriate training needs of volunteers
  • Interviewing and selection skills.
