POST TITLE: Project Support Officer (30 hours a week)

Fixed Term Contract – October 2018

SCALE: CP Point 7 £15,253 pro-rata (Pay award pending)

RESPONSPIBLE TO: College Projects Manager

RESPONSIBLE FOR: To promote and generate referrals in the local community and providing administration support

PURPOSE OF JOB: To work as part of the ‘Working Together’ project helping people who live within specified priority wards, promote project and generate referrals. To establish and develop relationships with local community driven organisations, employers and local job centres to promote City Deal Working Together project. To provide support with planning and managing events and administration support.

SPECIAL CONDITIONS: This role will include a high volume of outreach work in the local community. Willingness to respond flexibly to the changing demands of work through for example; variation in working times and the availability of new technology.

MAIN DUTIES & RESPONSIBILITIES:-

1.  To provide an outreach service within the South Darlaston ward including researching the area regarding current demographics, businesses, potential participants and opportunities

2.  Research and establish links with local community organisations, schools, shops to promote project and explore opportunities in line with project targets

3.  To assist with establishing links with local employers to generate work placement and employment opportunities

4.  To provide support with organising and participating in community events to generate new referrals

5.  Support with marketing the project through events, mail drops and door knocking

6.  First point of contact for DWP and attend Job Centre on a regular basis to promote project and generate referrals

7.  To promote project to potential participants including completing engagement paperwork ready to pass onto a member of staff to follow up.

8.  To engage with potential participants interested in joining the project and complete engagement paperwork

9.  To attend local networking groups and meetings to promote project

10. Responsible for updating the project database recording outcomes, starters and leavers

11. Closing participants and completing appropriate paperwork

12. Overseeing enrolment process and ensuring learners have the correct ID

13. To monitor course attendance and to contact learners not attending

14. To support the team with monthly claim including printing certificates and photocopying evidence

15. Liaising with participants regarding future events and courses available

16. General administrative duties including data entry, filing and producing reports.

17. To develop and maintain appropriate office administrative and business support processes to ensure consistency of administration services for the project.

18. To support with preparation of management information and reports as required by City Deal contract.

19. Ensure all duties are carried out in a manner which promotes SHS equality and diversity policies

20. Promote Health and Safety culture within the workplace, observe all health and safety rules and procedures and all attend training courses as required.

21. Ensure essential information of a sensitive or personal nature is not disclosed to or discussed with inappropriate persons.

22. All information must be maintained in accordance with the Data protection Act.

Qualifications
Education
Training / Level 2 qualification in Business and Administration
Level 2 or equivalent in Maths, English and ICT / Commitment to continuous development
IAG qualification or willing to work towards IAG qualification / A/I
Work Experience / Experience in establishing links with community organisations/Job Centre Plus/Employers
Experience of providing an effective administration function for complex areas of work ideally in a grant/contract framework / Experience of working to deadlines
Previous experience or knowledge of employment driven funded projects.
Previous experience working in an outreach/field based role / Experience of working with people in communities as either a paid or volunteering role
Understanding of the demographics within Darlaston and the current barriers to securing employment / A/I
Skills & Abilities / Ability to organise own workload and work to deadlines
Computer Literacy in Microsoft word, Excel, PowerPoint, Publisher and Outlook
Effective written and verbal communication skills. Ability to work on own initiative
Able to work as part of a team, participating in discussions, support other and sharing knowledge to enhance team performance / Full UK driving licence and own vehicle
Understanding and interest in the problems faced by vulnerable adults.
