Post Title: MEMBERSHIP AND ADMINISTRATION ASSISTANT

Reporting to:Membership and Events Manager

Introduction

As the largest area based Chamber of Commerce, we have a strong reputation for being creative, innovative and placing our members at the heart of what we do. We have 650 members and over 3000 business customers. We are a small social enterprise that works in partnership with many organisations, including the public, private and community sectors.

This post is central to the success of what we do, often being the first point of contact for new enquiries and existing customers. You will be expected to provide a professional telephone service to callers and be able to advise them about membership and events and other service offers.

Your duties will be drawn from those outlined below. There is plenty of scope to develop your skills and experience.

Main duties

1.Membership

Providing a first point of contact for callers by phone and enquiries through email, social media and web sites

Handling general enquiries and signposting as appropriate

Promoting Membership and Chamber services over the phone

Following the membership process for new members and renewals of existing members

Keeping the customer relationship management system up to date and inputting new business contact details

2.Events

Setting up spreadsheets to record bookings

Taking payment over the phone using our on line booking system

Production of event materials and workshop packs

Producing attendee lists, badges and promotional materials

Attending events as a member of the team and undertaking agreed roles

3.Marketing

Updating the web site with relevant news and copy

Daily posting of news stories and photos to social media platforms, mainly Twitter, Facebook and Linked In

Keeping customer details up to date on marketing database, in line with GDPR policies

Working with the team on all marketing activity

4.General duties

Open and process post and emails and manage the sending of post on a daily basis

Order office supplies to assist efficient day to day running of the office

Filing and maintaining orderly paperwork and data records

Undertaking office risk assessment and health and safety duties

Experience and skills

Essential :

Presentable

Excellent telephone manner

Excellent time keeping

Good written and spoken English

Reliable

Able to organize your work, use own initiative and contribute ideas

Able to use Microsoft office and Outlook

Good knowledge of social media

Desirable:

Goodcustomer services skills

Good interpersonal and representational skills

Systematic approach to work with good organization

Able to do web site administration, knowledge of Wordpress

Able to use Excel
