POST TITLE:Admissions Assistant

REPORTING TO:Admissions Officer

MAIN PURPOSE OF THE POST:

To assist the Admissions Officer in the administration of the College Further Education, Undergraduate and Postgraduate application, interview and enrolment processes. This will involve the accurate input and maintenance of computerised student records. You will also be required to liaise with students, Course Teams, Business Support staff and external customers.

MAIN RESPONSIBILTIES:

  1. Processing Higher Education and Further Education applications from receipt through to enrolment.
  2. Carrying out admissions processing liaison internally with Admissions Officer, Programme and Course Leaders and other Business Support Departments. Liaising externally with bodies such as UCAS and the Home Office.
  3. Processing applications in student record systems eg Agresso, UCAS Weblink/Progress, undertaking careful checks on the information held, chasing up additional information, obtaining qualification results, verifying and mapping to predefined entry criteria as required.
  4. Administering and carrying out procedures for fee assessments, applicants declaring CRB, fraudulent applications, applicants with disabilities, special needs, mature and students under 18.
  5. Notifying applicants of interview outcomes. Turning around decisions within agrees deadlines, incorporating information on the correct fee level, information required to produce CAS (Confirmationfor the Acceptance of Studies)entry clearance documentation and any other communication as required.
  6. Responding to enquires (telephone, email and postal) promptly and appropriately, liaising with other departments where necessary.
  7. Ensuring that funding/government agencies are promptly informed of applicants or students progression status via an online system.
  8. Assisting in the enrolment of all students, including the collection and receipting of fees.
  9. To contribute to International strategy by supporting applicant entry clearance processes.
  10. Dealing with Admissions enquiries at the Reception desk.
  11. To contribute to College Open and Visit Days.
  12. Assisting with Registry duties as required.

PERSON SPECIFICATION:

Essential Criteria / Method of assessment
A minimum of 1 years’ experience of working within acustomer facing environment / Application form/Interview
Experience of using management information systems within a work environment / Application form/Interview
Good general IT skills and the ability to use a range of Microsoft Office programmes / Application form/Interview
Good organisational skills with the ability to prioritise workload, with excellent attention to detail and to work to tight deadlines / Application form/Interview

Ability to work quickly and accurately both as a member of a team or on own initiative / Application form/Interview

Educated to A level standard or equivalent experience including a minimum of GCSE English and Mathematics at grade C / Application form/Certificate
Desirable Criteria

Knowledge of Excel and Access databases in a working environment / Application form
