POST TITLE:Administrator (12 hours a week)

Fixed Term Contract – October 2018

SCALE:CP Point 7 £15,253 pro-rata (Pay award pending)

RESPONSPIBLE TO:College Projects Manager

RESPONSIBLE FOR:N/A

PURPOSE OF JOB: To provide administration support to a team of Employment and Training Advisers managing the City Deal Working Together project in South Darlaston.

SPECIAL CONDITIONS: Willingness to respond flexibly to the changing demands of work through for example; variation in working times and the availability of new technology.

MAIN DUTIES & RESPONSIBILITIES:-

  1. Work closely with the Working Together project team to ensure service delivery is conducted in a professional manner in line with current policies, procedures and related strategic documents.
  2. To develop and maintain appropriate office administrative and business support processes to ensure consistency of administration services for the project.
  3. Collation and secure retention of accurate data relating to client interventions and support services.
  4. Provision of management information and reports as required by City Deal contract.
  5. Provide administrative support to staff including assistance with updating outcome stars, tracking outcomes and capturing progress
  6. To maintain stock control and procurement of stationary and other sundries.
  7. To attend meetingsand taking minutes as required.
  8. Support with organising and participating in community events to generate new referrals
  9. Support with marketing the project through events, mail drops and door knocking
  10. Support the project lead to prepare accurate project accounts
  11. To ensure day to day compliance with data protection polices and information security policies.
  12. When directed by a manager, undertake any other task appropriate to the skill and responsibilities of the role
  13. Ensure compliance with legal, ethical, regulatory and social requirements
  14. Manager personal resources and own professional development
  15. Ensure all duties are carried out in a manner which promotes SHS equality and diversity policies
  16. Promote Health and Safety culture within the workplace, observe all health and safety rules and procedures and all attend training courses as required.
  17. Ensure essential information of a sensitive or personal nature is not disclosed to or discussed with inappropriate persons.
  18. All information must be maintained in accordance with the Data protection Act.

Education
Training / Level 2 qualification in Business and Administration
Level 2 or equivalent in Maths, English and ICT / Commitment to continuous development / A/I
Work Experience / Experience of providing an effective administration function for complex areas of work ideally in a grant/contract framework
Previous experience of providing administrative support for a Funded project.
Experience of data input to a bespoke CM system; with knowledge of quality and data checking processes. / Experience of Customer service
Experience of working to deadlines / A/I
Skills & Abilities / Organised with good attention to detail
Computer Literacy in Microsoft word, Excel, PowerPoint, Publisher and Outlook
Effective written and verbal communication skills. Ability to work on own initiative
Able to work as part of a team, participating in discussions, support other and sharing knowledge to enhance team performance / Understanding and interest in the problems faced by vulnerable adults.
