Post:Team Administrator

Location:Home Based/Binsey Team Office

Purpose and Objectives:To give support in administration and coordination of the various activities across the Mission Community. To also support the clergy and wider leadership team in serving church members and bringing about the shared Diocesan vision of ‘God for All’. To help pioneer new models of church that grow through the team ‘Mission Action Planning’.

MAIN RESPONSIBILITIES:

Administration

  1. Provide general administrative support to the Team Rector and Team Vicar.
  1. To be the point of contact for much of the telephone, e.mail and postal enquiries.
  1. Coordinate Annual leave within the staff and Ministry Team.
  1. Meeting administration (setting meeting dates, collating and issuing agendas and papers, arranging venues, and occasionally taking minutes).
  1. Working with the Clergy & Ministry Team to coordinate and help produce the necessary resources for Sunday worship.
  1. To work in conjunction with the Team Rector to create, manage, and maintain all church policy handbooks. And to ensure the information is disseminated to all necessary people.
  1. To participate in the planning of the Annual Parochial Church Meeting, including preparation of Annual Reports and making reports to the Diocese and Charity Commissioners
  1. To give support to the Team Magazine Editor -‘The Binsey Link’
  1. To give support when required to the Team Treasurer
  1. Other duties appropriate to skills and experience as The Binsey Mission Community develops

Website and Communications

1. Create and update website content as required

2. Create and oversee the Team contact database

3. Collate the Team service rota and monthly events lists

4. Update Wedding data, using website and spreadsheets

5. Create and update Baptism Spreadsheets and coordinate meetings and services

6. To alert staff as to what’s needed and when in order for the Team to run smoothly.

7. Update and add content to the Team Facebook page

Ministry Strategy Responsibilities

1. To be an integral part of the Binsey Ministry Team and contribute to meetings

2. To work in conjunction with the clergy team in producing and planning the overall

Church strategy and Mission Action Plans (MAPs)

3. To help identify work and actions that will enable the Parish Church MAPs come to

fruition

4. To be available as a resource to the volunteer Church leaders, to help facilitate their

roles

Hours:12-15 hours per week(negotiable)

Remuneration:£12 hr (negotiable) on self employed basis

Probationary period:The appointment is subject to the satisfactory completion of a three month probationary period

References:The appointment will be subject to satisfactory references as

well as a satisfactory Disclosure and Barring Certificate (DBS)

Qualifications / Essential / Desirable
To be educated to GCSE level (or equivalent)in at least 5 subjects including English and Maths / X
To have administrative qualifications or equivalent through experience / X
Knowledge
Understanding of Church of England Structures / X
A good understanding of PCCs or Church Vestry structures / X
Knowledge of charities/voluntary sector / X
Knowledge of contact databases and data protection principles / X
Skills
Good oral and written skills / X
To be computer literate in Word, Excel and Powerpoint / X
Excellent written and spoken (face to face) communication skills / X
Able to manage a varied workload, balancing scheduled tasks with unexpected requests for assistance / X
Experience
Experience of co-ordinating and minuting meetings / X
At least 3 years experience of administration / X
