POST: Assessment, Data and Examinations Assistant

RESPONSIBLE TO: Principal, under the day to day management and leadership of the Head of Secondary Phase

GRADE: NJC SCP 15-17 £15,294- £15,959 per annum pro-rata’d salary

KEY RELATIONSHIPS: ALT; relevant teaching and support staff; partner professionals; parents; students; Academies/Schools; local community; other Oasis Academies and Oasis Community Learning central staff.

LOCATION: Oasis Academy Shirley Park

WORKING PATTERN: 37 hours per week, term time only (plus 4 days in August following the publication of external examination results- second and third week)

JOB PURPOSE: To assist in the operation and delivery of internal and external examinations within the Academy which include managing the planning, operation and monitoring of examinations.

Organisation

This will involve:

·  To assist in the daily running of public examinations.

·  Checking, storage and security of exam papers as they arrive and informing Assessment, Data and Examinations Manager of any discrepancies.

·  To appraise FM of hall bookings and seating requirements for each exam season.

·  To fully understand the requirements for pupil conduct in all exams, alongside Assessment, Data and Examinations Manager.

·  To assist in completing attendance registers for external exams, collating and packaging of scripts.

·  To make arrangements to have exam scripts collected by the required courier and ensure that they are collected on time.

·  To be responsible for makingarrangements for staff to invigilate and ensure they are briefed on procedures.

·  To liaise closely with Cover Manager with regards to invigilation.

·  To assist Assessment, Data and Examinations Manager to ensure all coursework/controlled assessment deadlines are met.

·  To liaise with SENCO regarding Access Arrangements to ensure that the needs of students are met.

·  To assist Assessment, Data and Examinations Manager to disseminate information about external and internal exams to staff, students and parents.

·  To liaise with LZLs/CLs on student entries, keeping ALT informed.

Administration

This will involve:

·  To assist in making examination entries for external exams/registrations such as GCSEs, GCEs, BTECs, OCR Cambridge Nationals, NCFE V-Certs that may be required. This will include; downloading base data for the relevant exam boards and seasons used; establishing mark sheets; making and returning entries; applying for special arrangements (extra time, modified papers, bi-lingual dictionaries); dealing with clashes; preparing an exam timetable for each season; arranging seating plans and labels for exam desks and administering exams on a daily basis through all exam seasons (November and June).

·  To assist in ensuring all examination stationery and necessary materials are available relating to the smooth running of exams.

·  To assist in making sure that entries are checked and agreed with students and parents/carers with the approval of the Assessment, Data and Examinations Manager (Statements of Entry).

·  To make any entry changes having been agreed by staff and on the condition that the student and parent/carer are aware.

·  Assisting the Assessment, Data and Examinations Manager to co-ordinate the provision to each student/parent/carer of a general exam timetable and an individual timetable showing the exam entries and seat allocation.

·  To liaise with staff, students and parents to ensure that all parties are fully informed of exams conducted in November and June. Letters to be send to parents for each season with Statements of Entry.

·  To assist with the copying and distribution of results in conjunction with the Examinations Manager.

·  To check certificates and make arrangements for their distribution.

·  To organise and attend the results days in August for both GCE and GCSE, distributing results to students and distributing documentation to staff in conjunction with the Assessment, Data and Examinations Manager to parents and staff.

·  Ensuring that the SIMs database is up to date.
