Reports to:Dual reporting to Terminal Engineer & Safety Officer

Department:Engineering & Safety

Location: Immingham

Scope

General administration for the Engineering and Safety teams located at Immingham.

Main Duties

Duties include but are not limited to:

Engineering:

  • Take and record site meter readings in line with maintenance tasks for accounting purposes.
  • Assist with the running and maintenance of the asset management system on site to include: -
  • Close out of Computerised Maintenance Management System (CMMS) work order upon completion and the raising of remedial work orders.
  • Assist with filing and scanning of hard copy paper work and saving into software folders.
  • Attaching scanned documentation into the CMMS by means of hyperlink or upload facility.
  • Add new items of equipment and update Planned Preventative Maintenanceroutines associated.
  • Assist with provision of CMMS records for internal and external audits.
  • Printing of work orders for contractors and maintenance staff.
  • Performing equipment location and duty amendments as required through relocation or change of service.
  • Raise purchase order requests for approval by the budget holder.

Health & Safety and Training

  • Administration of Agility software for Safety Critical inspections and subsequent actions such as producing COSHH Assessments and other applicable risk based assessment reports
  • Production of emergency exercise and KPI reports to ensure all aspects of Safety, Health and Environmental performance are suitably documented and monitored by the team.
  • Use of Focal Point finance system to complete ordering of Safety equipment such as PPE and First Aid items.
  • Creating and maintaining numerous data bases as part of the competence development programme
  • Administration of continuous improvement training programmes and booking of training sessions etc.
  • Assisting with the development of a suitable training data base, enabling proof of competence to be documented in one centralised location.

Post Requirements

1. / IT /
  • Candidate must be fully IT literate and have an excellent working knowledge of excel, word, access, spreadsheets and MS windows systems.

2. / Experience /
  • Experience of working in a busy administration environment.
  • Minimum 2 years’ experience in the above described IT systems.

3. / Skill set /
  • Ability to work within a small team.

  • Ability to provide all aspects of administration duties.
  • Ability to communicate and work with other multiple departments.
