Position Title: Advancement Services Assistant, Transaction Processing

Reports to:Assistant Director of Advancement Services

Primary Function:
The Advancement Services Assistant, Transaction Processing position supports the information needs of the Advancement division through the timely processing of gift transactions in The Raiser’s Edge (RE) and other college systems. Additionally, it is expected that this position contributes to overall efficiency and effectiveness of the department by aligning daily work and tasks with industry best practices. Active participation in department and division meetings is expected and encouraged.

AREAS OF RESPONSIBILITY:

  • Transaction Processing
  • Prepare and enter daily gifts of the following payment types:
  • Checks
  • Currency
  • Direct Debit
  • Credit Card
  • Phonathon Pledges
  • Produce donor receipts
  • Prepare Business Office reconciliation reports
  • Constituent Record Management
  • Update and/or maintain constituent records with information from the following sources:
  • Gift remittance forms
  • Phonathon Updates
  • Student Information Services (SIS)
  • Alumni Surveys
  • Gift Deposit (back-up role)
  • Prepare daily deposit for gifts received in the Advancement Services office
  • Deliver deposit to the business office
  • Document Scanning
  • Index and scan gift documentation
  • Other Duties as assigned

CONTACTS:

Daily contact with on-campus colleagues, some contact with outside constituents

EDUCATION:

  • Essential: Associates Degree or equivalent experience
  • Desirable: Bachelor’s Degree

EXPERIENCE:

  • Essential: Experience with Microsoft Word and Excel. One to three years of experience in an office environment.
  • Desirable: Experience with RE. Experience in a higher education environment.

KNOWLEDGE, SKILLS & ABILITIES:

  • Effective problem-solving and analytical abilities
  • Data-entry accuracy, attention to detail, and confidentiality are essential
  • On-going willingness and ability to learn new software applications is essential
  • Must have excellent organizational, proofreading, oral and written communication as well as general office skills.

PHYSICAL DEMANDS:

Some light lifting up to 25 pounds.

WORKING ENVIRONMENT:

Typical office setting; ability to sit for extended periods of time and ability to be mobile

WORK SCHEDULE:

Campus office hours, Monday-Friday, 8:00 a.m. - 5:00 p.m. Occasional weekend and evening work may be required.
