Position:Operations Manager

Job description

This position will report to the Motiv Sports Operations Director and is responsible for event logistics and planning for their .The Operations Manager shall create and manage operational manuals to execute races in a highly-organized and professional manner.Strive to put on events that provide an amazing participant experience. The Operations Manager will work closely with the Operations Director to plan, forecast, manage and reconcile event budgets responsibly.

Key Duties:

Staff and Volunteer Management

  • Secure, coordinate, manage and train race staff
  • Create and manage assignments for race staff and volunteers
  • Conduct operations meetings for all events

Venue, Course and Vendor Coordination

  • Secure all necessary permits and permissions(course, venue, liquor, meters, parks,ect.)
  • Have a working relationship/partnership with the City event contacts & all City departments for permits renewals, new event updates and cost saving ideas
  • Work with local partners to design route, secure traffic management and security
  • Develop access plans, no-parking grid, impact timeline and all supporting documentation for route
  • Design, with the Event Manager, & Expo Manager the venue layout and work with Motiv graphics manager to generate site map(s)
  • Create parking plan
  • Create transportation plan (if necessary)
  • Submit all required insurance needs to Motiv risk management and ESIX insurance lead
  • Manage all safety, emergency, and medical procedures
  • Equipment Rental (heavy equipment, rentals, staging sound, etc.)
  • Work with Coordinators regardingevent consumable supplies
  • Waste & janitorial program

Other

  • Complete all Budget ForecastsBudget Updates to the Operations Director & Finance
  • Ensure all event invoices are submitted and paid post-race. 60 days after the event deadline.
  • Assist with other tasks or duties as requested
  • Assist team with other administrative tasks during peak customer service periods
  • Attend bimonthly functional group calls
  • Update all Operational Documents on the Motorsports Dropbox

The following positions shall be assigned to a part time (other positions may be added to this list)

  • Course Coordinator
  • Water Station Coordinator
  • Venue (start / finish line) Coordinator
  • Community Relations coordinator (for larger events)

Qualifications

  • Bachelor’sDegree
  • 3+ years operational or event management experience
  • Excellent written and verbal communications
  • Familiar with Microsoft Office, including Outlook, Word, Excel and PowerPoint
  • Detail‐oriented and organized
  • Self‐motivated and goal‐oriented
  • Strong leadership skillset
  • Committed to excellence and customer service
  • Passionate about learning and innovating
  • Problem‐solver, calm under pressure
  • Ability to work nights and weekends as needed. You will meet with volunteers both before and after the race, and these meetings are typically held in the evenings.
  • Running experience is a plus, but not required
