Position Available

The Bureau of Transportation is seeking applicants for the position of Receptionist for the Bureau of Transportation’s Police Section, located in Sangamon County at 527 East Capitol Avenue, Springfield, Illinois.

Brief Description of Duties

Subject to management approval, performs highly responsible, complex, technical and confidential secretarial and clerical functions of an administrative nature relating to the operation of the Police Section. Types a variety of routine documents by using a personal computer; functions as the first point of contact for visitors and phone inquiries to the Police Section, providing information and assistance which may be of a technical nature; opens, date stamps, and distributes incoming mail related to formal proceedings and docketed matters, exercising discretion and judgment concerning sensitive and confidential information contained therein; gathers, researches, and compiles data for preparation of reports, creating and charts and graphs of data by using word processing and spreadsheet software; assists with the docked compliance electronic and hard copy filings; reviews filings to ensure the proper numeric sequence and compliance with ICC orders; maintains and updates mailing lists; identifies, develops, and recommends methods and forms to improve the processing and control of records; maintains a variety of hard copy and computerized files for the Police Section of the Bureau of Transportation; assists with annual report mailings and documentation of reports being filed; and performs other duties, special projects, and research, as assigned or required.

Training and Experience Required

Requires a person with sufficient maturity, professionalism, and the necessary discretion to deal with access to highly confidential, sensitive, or controversial information and documents; knowledge, skill and mental development equivalent to two years of secretarial or business college, or completion of high school and five years previous secretarial experience; extensive knowledge of the personal computer and its related software programs and applications; the ability to communicate effectively in English, both orally and in writing; extensive knowledge of composition, grammar, spelling, and punctuation; knowledge of office practices and procedures; knowledge of alpha numeric sequencing; and the ability to type accurately. Knowledge of agency programs, policies, procedures, rules and regulations is preferred.

The Receptionist is an exempt merit compensation grade 01 position with the salary range of $28,260 to $56,448 per year. Work hours are from 8:30 a.m. to 5:00 p.m., Monday through Friday.
