Dear Member,

Re: Volunteering

I think we would all agree that the racing programme available at The Poole Yacht Club is second to none. In the 2016 sailing programme for example, there were 151 club races available – and this doesn’t take into account the various open meetings, regattas and training sessions that are also a vital part of the sailing calendar.

As with many amateur sporting organisations, we rely heavily on volunteers to provide this racing. Whether it be managing the race from the race hut, providing safety boat cover, behind the scenes activity such as preparing race marks, keeping the safety boats up to order, housekeeping the race office and hut, preparing the SI’s, NoR and amendments – none of this would be possible without members volunteering their time and effort.

Over the last 2 years, there has been a noticeable decrease in the number of volunteers stepping forward, and since we haven’t reduced the sailing programme (in fact, it has and is increasing, year on year), this has obviously entailed a corresponding increase in duties for those that do volunteer. We need to be mindful not to overburden our volunteers – they too are sailors after all and in the majority of instances would be participating in the races were they not volunteering.

Your Sailing Committee has considered this at length and now concluded that the time has come to address this imbalance - and rather than reduce the sailing calendar, has decided (as many other sailing / yacht clubs already do) to introduce the requirement to undertake compulsory duties for all those that enter club racing.

The proposed format is that each helm/owner entering 2017 racing will perform a minimum of just 2 volunteer duties from the 2017 sailing programme. These duties can be delegated to a crew member and can be either race hut or safety boat duties as appropriate. The race entry forms for 2017 will include appropriate fields for indicating preferences in this regard.

Average points are awardable for all volunteer duties as per the Sailing Instructions.

We sincerely hope that all members appreciate the need for, and will be fully supportive of this new initiative, which is for the benefit of all that go racing and provides a fairer spread of the roles required to be undertaken to facilitate such a comprehensive racing programme.

Furthermore this new initiative is intended to supplement the existing volunteer roster rather than replace it.

This initiative will be monitored during 2017 and an assessment of its effectivity will be made thereafter.
