CIRCULAR
Based on the observations over a period of two months the following clarifications are provided. Pl refer to the Pondicherry University norms available on the following link http://www.pondiuni.edu.in/downloads
1. The first DC meeting shall be conducted within six months of the PhD registration. In the first meeting the broad area of research, literature review, prerequisites for the research programme (such as course work, simulation tools, equipment/lab and others) shall be identified by the supervisor and approved by DC members.
· 2. The DC meeting minutes shall include the details of the proceedings indicating clearly the candidate’s progress, the observations and recommendation by the members of DC. It is also decided to facilitate the process by circulating a model. The same can be treated as a framework with no limitation on the content.
3. Further DC meetings have to be conducted regularly every 6 months and the candidate should present for 30 minutes the research findings and produce the reprints of publications (if any) before the committee. The minute records the proceedings briefly with its evaluation of the research progress as good/satisfactory /poor. Also the abstract of work carried out can be enclosed
· 4. The minutes of the DC meeting need to be super-scripted with number as First/second/third etc.
· The minutes must be sent to the Controller of Examinations, Pondicherry University through proper channel i.e., HOD, Dean (Research) and Principal, PEC, marking a copy of minutes to HOD and Dean(Research).
5. As the minimum period is two years for PhD programme and six months for DC meetings, the recommendation for synopsis can be done earliest at/after 24 months of registration and at the fourth doctoral committee meeting. The span between meetings shall be 6 months to ensure minimum progress for review.
· 6. While conducting DC meetings a letter of invitation (not Note/Memo/etc) has to be sent to the DC members indicating date and venue and a copy of the same should be marked to HOD, Dean (Research) and Principal, PEC.
7. All research scholars should regularly sign the attendance register in the respective department. If the candidate is not reporting to the supervisor for a continuous span of 6 months the supervisor may send a letter/email to the candidate asking him/her to report immediately. If the candidate does not respond, the supervisor shall report the same to the HOD. Action would be initiated on such candidates as decided by Principal, PEC. If no such complaints are lodged it is assumed that the candidate is regular and the same is authenticated by the attendance record.
8. The doctoral degree is a highest and prestigious degree in Engineering and hence it is requested that the standards expected, the adequacy of progress, and the quality of work may be strictly monitored and adhered to by all supervisors and DC committee members responsible for the award of the degree.
