Policy Document on the Arrangements for Out of Hours Clubs

The purpose of this document is to outline the policies surrounding the arrangements for Breakfast Club and After School Club. All other policies which exist within the school environment will be adhered to in the operation of extended services with particular reference to the current Behaviour Policy, Medicine Policy, Asthma Policy, Inclusion and Equal Opportunities Policy, Safety Policy, Fire Policy, Child Protection Policy, Lone Working Policy and Debt Management Policy.

Arrangements

  • Any child attending St. Gabriel’s R.C.Primary school is eligible to attend the clubs. The school’s Equal Opportunities Policy applies.
  • Pupils should opt prior to the start of the school year (September) as to whether they wish to attend a club, using the appropriate booking form.
  • Should a pupil wish to change these arrangements they should notify the Club Supervisor.
  • Variations should be done at the beginning of a half term; however a minimum of two weeks’ notice is required for any change, including cancellation of a place in writing. Failure to give the appropriate notice will result in charges being incurred.
  • Bookings will be assumed to be ongoing until the Club Supervisor is notified otherwise.
  • The number of places available is subject to the facilities available and number of staff employed. All places are subject to availability and are allocated on a first come first served basis. Drop in sessions which are not pre-booked are not permitted unless in emergency and within child to adult ratio.

After School Club Charges

  • The cost per session is currently set as follows : SESSION 1 - £2.70 (2.50 pm to 3.15 pm), SESSION 2 - £5.30 (2.50 pm to 5.15 pm), SESSION 3 - £6.30 (2.50 pm with collection between 5.15 pm and 5.45 pm).
  • All children should be collected promptly by the booked time. Uncollected children staying after their booked time will result in additional charges being incurred as set out in the Late Collection section below.
  • The revised charges for this service can be done at any point in the year, but will usually be done in January. Parents will be notified of an increase in charge in the term before the increase.
  • Any member of staff with a child in school is able to use the club free of charge.

Breakfast Club Charges

  • The cost per session is currently set at £1.90 (8:00 am- 8:50 am).
  • The revised charges for this service can be done at any point in the year, but will usually be done in January. Parents will be notified of an increase in charge in the term before the increase.
  • Any member of staff with a child in school is able to use the club free of charge.

Payments

  • All parents are expected to pay for a club when utilising the service.
  • All payments should be made, in advance, on Monday of each week.Payments can be made by cash or cheque. Change will not be given all amounts will be credited in full and credits held over to the following weeks.
  • Ad hoc bookings must be paid for on the day of service.
  • Payments should be made directly to the Club Supervisor.
  • Missed sessions will not be compensated for.

Payment Arrears

  • Payment arrears may result in cessation of service. Failure to advise the Club Superviser if service no longer required will result in charges continuing to be made. The service will be automatically cancelled after the first week of non-attendance to prevent further arrears accruing. Arrears must be settled in full before accessing Out of Hours Clubs in the future.

Change of Details

  • It is the responsibility of parents to notify the Club supervisor of any changes in emergency contact details, telephone numbers, addresses, passwords as well as any change in medical conditions or allergies.

Complaints Procedure

  • Complaints should initially be raised with the Club Supervisor. If the complaint is not resolved satisfactorily then it should be directed to the Pastoral Manager, the Head Teacher and finally the Chair of Governors.
  • Late Collection

Parents must collect their children by 5.45 pm. Any parents arriving after this time will incur a charge of £1 for every 5 minutes. If any child is still on the premises after 5.45 pm and the After School Club has not received any contact or been unable to contact the parents/guardians then the Club Supervisor/Senior Leadership Management Team have the right to contact Children’s Schools and Families Targeted Services.
