WELCOME

Thank you for supporting the 6th Annual PMC-Sierra Science Fair Fun Run and for parting with a very valuable commodity, your time. I hope that your experience as a volunteer is rewarding as well as fun. In that light the organizing committee has put together this information manual to ensure that you have the information you require to do your job successfully.

Those of you who have volunteered for events before know that the minute you put on a Volunteer t-shirt you become a walking Information Booth. We have included as much information in this book as we can think of to answer both your, and the general public’s questions. We certainly recommend that you bring this book with you when you come to the site on Sunday May 30th as it will make a great reference source.

ABOUT THE RUN

Giving Young Scientists a Running Start

The PMC-Sierra Science Fair Fun Run will help enable the success of future Science Fairs in BC and ensure that our young people have the skills they need to succeed in a fast-paced, knowledge-based world.

Promoting BC's Science Fairs

The Science Fair Foundation of British Columbia is a non-profit charitable society committed to the promotion and development of Science Fair Programs in the province. Science Fairs give students from grades four to twelve a unique opportunity to explore their interest in science and technology. Each year, over 60,000 students from 800 schools in British Columbia participate in Science Fairs. More than 1,000 educators and professionals, in the field of science and technology, volunteer as judges and mentors for B.C. students.

The Dr. Michael Smith Science Fair Endowment

All proceeds from the PMC-Sierra Science Fair Fun Run will go to The Dr. Michael Smith Science Fair Endowment to support the promotion and development of Science Fair Programs throughout the province.

Earlier this month, funds raised by the Science Fair Foundation helped send over 50 students from BC to the Canada-Wide Science Fair in St. JohnsNewfoundland.

Dr. Michael Smith, Nobel Laureate (1932-2000)

Dr. Michael Smith was the founding patron of the Science Fair Endowment to support the promotion and development of Science Fair Programs throughout the province.

Canada-Wide Science Fair 2005

This Year the 2005 Canada-Wide Science Fair was held right here in Vancouver at the University of BC Campus from May 15th to 22nd.

THE RACE COURSE

5km

The 5 kilometre waterfront course is flat and fast. Starting at Science World through the Molson Indy site onto 1st avenue, the course continues under the CambieStreetBridge and right onto Spyglass place. The course then loops through CharlesonPark, out on to Moberly and then Commodore road hooking back up with 1st under the bridge and back to Science World.

Mini Fun Run for Little Ones

The Mini Fun Run follows the same route as the beginning of the 5 km route. The mini fun course starts and finishes in CreeksidePark.

Race Marshals will be placed along the course to ensure no one gets lost. There will be one water station located on Moberly road as the runners exit the park. The water stations are manned by Hospitality Volunteers.

VOLUNTEERS

You are one of over 70 volunteers forming four teams that help make the PMC-Sierra Science Fair Fun Run event run smoothly. These four teams are:

Hospitality

Team Captain – Pauline Landry

Hospitality volunteers will maintain the food and water stations for the runners on Race Day. They will also be in charge of setting up the Volunteer room.

Race Marshalling

Team Captain – Lanny Flores

Race Marshals are positioned along the course. They direct runners through the course, assist runners, and shout out encouragement.

Race Registration / Gear Check

Team Captain – Otto Mak

Registration Staff will work on the processing of registrations. This includes some pre-race assignments as well as coordinating the late registration at the site on race day. The Race Registration Team will also be responsible for package pick-up on race day and Timing Chip collection.

Site Services

Team Captain – Andrew Watts

Site Services volunteers will be responsible for the site setup and tear-down on race day. Volunteers for site set up must be prepared to do some lifting. The site services team is also responsible for site signage.

INFORMATION FOR VOLUNTEERS

Volunteer Sign in

All volunteers are required to sign in at the registration desk located at the entrance to Science World, before their shift starts on Race Day. Once you have signed in you should then proceed to your team’s prearranged meeting place. This will be determined on orientation night. If you are not sure of your team’s meeting place there will be a list at the sign-in station.

Transportation

Science World is located across the street from the Main Street SkyTrain Station. The Sunday SkyTrain schedule is as follows:

Expo Line - The first train from King George to Waterfront Stn leaves at 7:08 am

Millennium Line – The first train leaves Lougheed @ 7:13 am.
The first train leaves Commercial Station @ 7:36 am.

For those Volunteers starting later this is a fantastic mode of transport. For the early starters the buses run earlier and there will be volunteer parking set aside on the south side of the site along the Molson Indy track. Science World also provides bike racks for those preferring the two-wheeled option.

Volunteer Uniform

All Volunteers will be given a t-shirt at the orientation. This T-shirt and jeans will make up the volunteer uniform. Depending on the weather you may want to put a long sleeved shirt under your volunteer t-shirt or you may need to wear rain protection. Please ensure you are wearing appropriate foot wear.

Representing the Fun Run

It is important to remember that you are considered a representative of the event the whole time you are on site and wearing your volunteer t-shirt. As a result here are some pointers and reminders regarding general conduct.

  • Do not smoke cigarettes or consume alcohol when on duty.
  • Ensure you portray a friendly welcoming demeanor when dealing with the public.
  • When someone asks you a question, do your best to answer it or if you do not know the answer direct or take the individual to someone who does.
  • If a guest becomes difficult or is complaining, direct them to a Team Captain or Committee member to address their concerns.

Volunteer Room

The Volunteer room will be private but not locked so do not leave any valuables unattended as we can not accept any responsibility for lost or stolen items. Fanny packs work great for carrying around your belongings and this handbook.

INFORMATION FOR RUNNERS

Package Pick up

Most runners will have picked up their race package before race day. Corporate team member’s packages will be delivered to their Team Captains the week before the Race.

Packages will also be available for pick-up at the Running Room outlet located at 1578 West Broadway - Saturday, May 30 (12:00 pm - 5:00 pm)

For those runners who have not picked up their packages before race day there will be a Registration desk located at the Science World loading dock where they can pick up their packages from 7:30 am - 8:30 am.

ChampionChip Timing

ChampionChip timing will be used to track runner’s start and finish times. This year the timing chips will be attached to runner’s bibs, eliminating the need for timing chip pickup. Timing chips must be returned after the race or a $40 charge will be administered.

Gear Check

Registered runners will be able to have their gear checked before the race and then pick it up after the race. The gear check station will be located in the loading dock of Science World.

Gear Check will be available from 7:30 am to 10:30 pm on the day of the event. Anything not picked up will be stored in the Science World lost and Found.

GENERAL INFORMATION

When does the race start?

The 5km Science Fair Fun Run starts at 9:00 am rain or shine. The Mini Fun Run starts at 9:05 am once the big guys are out of the way.

Paid Parking

The Science World pay parking lots will be operational on the day of the event. The public are welcome to park in these lots. There is also some street parking available in the area.

Washroom Facilities

There will be porta-potties located on the south west side of Science World for the general public. There are no washrooms available in Science World for the general public.

First Aid

First Aid services for the event are being supplied by St. Johns Ambulance. The St. John’s attendants will be visible around the site and the course and are supplied with radios. If someone needs first aid contact the nearest volunteer with a radio and radio for assistance. If it is an emergency call 911.

Policing

The Vancouver Police Department will be providing traffic control, street closures, and policing services to the event.

Refreshments

  • Water Stations. The water is being provided by Canadian Springs Water Company. There will be a water station located approximately half way along the course for runners. This station will be manned by Hospitality Volunteers. There will also be two water stations located at the site to the east of the sponsor tents. We will have plenty of water this year for all the runners.
  • Food Station. The food is being provided by White Spot, sorry no pirate packs. There will be a food station located on the site. This will also be on the east side of the sponsor tent area. There will be bananas, apples, bagels and cookies there for the runners.

If people are asking what is going on the following information will come in handy.

Science Fair Tents

There will be a tent located in the sponsor area that will house exhibits of this year’s Canada-Wide Science Fair entrants. This tent will be staffed by local Science teachers.

Award Ceremonies

The Award Ceremony will take place at 10:00 am to 10:30 am. The White Spot Pipe band will launch the ceremony. This will happen on the Centre Stage. Asa Zanatta and Pauline Landry are organizing the ceremony.

The Main Stage is located on the northwest side of Science World along the railing overlooking False Creek.

Science World

Science World is open to the general public on Race Day. Their hours of operation are 10:00 am to 6:00 pm. All Registered Runners and Volunteers receive free admission to Science World on the day of the event. Runners just need to show their race bib number and Volunteers just need to identify themselves at admissions.

Event Sponsors

The following companies, organizations and schools will have tents and activities:

  • The CISL 650 & Z95 will each have a van on site and will be giving away “stuff”.
  • Science World will have roving buskers doing “Neat Science Stuff”.
  • PMC-Sierrawill have balloons, give-aways, face painters and stilt walkers onsite.
  • Running RoomCanada will have random draw prize pick-up.
  • BCIT will have an information booth set up.
  • Nike will be onsite with a test track and samples of their latest shoes for runners to test.
  • Westcoast Families will have crazy hair and give-aways at their tent.
