Information for Outgoing Students:

·  Our partner schools require a minimum CGPA and TOEFL score from applicants. To see these minimums for each partner school, go to the “Partner List” link off the Exchange website at http://exchange.ku.edu.tr. Most European schools require a minimum CGPA of 2.0 and TOEFL of 550, 213 or 80. Schools in USA and Canada typically require 3.0 CGPA and 600 TOEFL minimum.

·  Student exchange programs are typically for one semester only (Fall or Spring). You can extend your time abroad to two semesters only if the following conditions are met:

(1) You are already on exchange and doing well;

(2) There is a slot available at your host school and no other students have applied for that slot, even after the final announcement of free slots;

(3) The exchange coordinator of your host school is in favor of the extension; and

(4) Your faculty dean at Koç supports the extension and approves your prospective classes.

·  Students usually study abroad during their second year, third year, or first semester of their fourth year. With special approval from their faculty, students may be able to study abroad during the second semester of their fourth year.

·  Students must be able to financially support a semester abroad and must have the support of their family.

·  KU students can only study abroad at our partner institutions (i.e., schools with which Koç has a partnership agreement).

·  While studying abroad, students pay regular tuition and fees to KU; housing and living expenses are paid to the host institution.

·  Before leaving for exchange, students must get the courses that they plan to take while abroad approved by their department Dean or Associate Dean. Given this approval, the credits and grades successfully earnedat the host institution will be fully transferableto KU; therefore, students do not lose any credits or semesters. Students must submit the Course Equivalency Form to the Dean of their respective department for written approval before departure. Students should keep a copy of the form and submit copies to the Dean’s Office and Exchange Office.

·  Students must be in contact with their respective department and the Exchange Office if there is going to be a change in the selected courses at the host institution. All course changes should be approved by their department Dean.

·  In addition to the Course Equivalency Form, Erasmus students must submit the following forms to the Exchange Office before departure so that students receive grants: Öğrenci Bilgi Formu, Hibe Sözleşmesi, ECTS Learning Agreement. Students are also asked to bring the following documents after returning to KU: Certificate of Participation, Öğrenci Rapor Formu, ECTS Learning Agreement, and transcript from host institution.

·  Selection criteria: Officially, your TOEFL score and CGPA weigh 50% each. However, the Exchange Office also considers your CV and extra-curricular activities. The students receive the following grades for their TOEFL scores. If you think your TOEFL score is low, please re-take the exam.

·  The student has to meet the minimum requirements of the host institution. Keep in mind that a student’s selection by the Koç Exchange Office does not automatically mean that the hostinstitution will accept this student. The student’s application may be rejected by the host institution.

Once the student has been selected, the following procedures will take place:

·  Student confirms participation in the program.

·  Koç’s Exchange Programs Coordinator nominates the student to the host institution.

·  The host institution sends the student its application form(s).

·  By the partner institution’s deadline, student fills out the application form of the host institution and prepares other documents that need to be submitted. These additional documents may include a personal statement, transcript, recommendation letter, TOEFL score card, housing application form, bank statement, sponsor letter, and course selection form. Please be careful with the application deadline!

·  Exchange Office will send your application to the relevant university.

·  Student receives an official letter of acceptance from the university and documents for visa application

·  Student applies for a visa at the Consulate as soon as she/he receives the acceptance letter. Do not wait! Procedures can take long.

·  All partner universities have a separate housing department that collects and processes housing applications. Submit housing applications early, since placement is not guaranteed and rooms fill-up quickly.

·  Make sure to fill out the “KU Yurt Başvuru Formu” on KUAIS by the deadline set forth by Dormitory Management. If a student fails to submit the form on time to the Dormitory Management, the student will not be granted a dorm room on their return to KU.

·  For the transfer of the acquired credits and courses to KU, student is obliged to request a copy of his/her transcript at the host institution to be mailed to the exchange office at KU. Once the exchange office receives the student’s transcript, the student will be informed via e-mail. Student then must take the transcript to his/her department within 15 days of the arrival date of the transcript.
