Datatel responses to questions raised in May 4 meeting

/ Mike reviewed the responses he received from Karen Conine: (1) turn off householding and (2) use only one calendar with registrar being the owner. Mike will follow up with the final question: can the data card system be connected to the database with ODBC driver?

Institutional hierarchy

/ The VP area does not need to considered in the set up. / Mike attended the HR team meeting this morning and presented a solution to their reporting needs. The funding source (two digits at the end of the account number) will be used to identify the VP area.
Could departmental summary/grouping be done in the department record? / Mike is awaiting a response from HR consultant, Kathy Page on this.
Mike asked if Fiscal made a provision in the account structure for a departmental summary/grouping. / Nancy said they did not. Mike will speak to Melissa.
The institutional hierarchy was agreed on by the team. / Institution: Marywood University
School:School of Architecture; Colleges (Liberal Arts & Sciences, Health & Human Services, Creative & Performing Arts, Education & Human Development; Continuing Education; Human Resources and Registrar’s Misc.

Department:Academic departments
Wendy and Betty extracted academic departments from payroll. / Wendy and Rosemary will work on finalizing the list for entry into the test system.
Revised goals and objectives for the team charter / Cathy distributed the latest revision. There was some discussion about changes but no determination made on final wording. / “Assigning ownership and responsibility for creation of the initial record and enforcing the established data entry standards” will not be combined with the first goal but listed as a separate goal.
“Provide senior management with accurate data for decision making purposes” will not be listed separately but combined with the first goal.
Cathy requested final comments by Friday, May 14.
Calendar / Paula Gethman’s university calendar will be used as a starting point for the calendar. Semester control file dates will also be included. Mike suggested using actual data for Fall 2012. / Rosemary will work on the calendar and have it ready for next Thursday’s meeting, May 20.
Additional training / Mike noted that three important topics – scheduling, calendar and facilities- were covered briefly in CORE training. / Mike suggested that a Datatel consultant be brought back to address these three areas. The team agreed with this suggestion.
Data entry standards / Cathy found some information on what other educational institutions are doing. / Cathy will send links to this information to the team.
Christian shared results from data he entered into the system after we completed PID3.
Christian will enter some international addresses and present the results at the next meeting.
Wendy reminded the team that the word substitution fields on PID3 do not affect capitalization. Separate rules for capitalization are applied on each form.

Val codes

/ The team began reviewing the CORE.VALCODES in the Decision Workbook.
Amy asked about addresses for the student mail boxes on campus. There’s a field (Campus box number) on the DADD form for that information / ADDRESS.CHANGE.SOURCES – add: Code IW with Description: In Writing
ADREL.TYPES – no changes – Mike suggested Nancy look at “Remit to” on the PO side versus “check”, which appears on this table.
ALIEN.STATUSES – no changes
ALT.ID.TYPES – Wendy will work on these. Wendy will also find out how to sort or go directly to a certain letter of the alphabet to find a specific val code without scrolling through the entire list.
EMPLOYMT.TYPES – Cathy will check on how this is used.
FORMATTED.NAME.TYPES – Change: PLA with Description: Plaque to Code: CER with Description: Certificate
