Pinnacle 6 – AT&T Monthly Call Record and Data File Loads to Billing System Process

This process is composed of two components.

-  Part 1 is to go to the AT&T web site, ATT.com, and prepare the month’s charges. There are two files prepared, one for Voice and one for Data. Data is usually larger than the Voice file. The entries range from the middle of each month, for example, the December file will contain October 17th through November 16th records. These files cannot be loaded into the Billing System until the bill has been successfully run.

-  Part 2 is importing the monthly charges into the billing system.

Part 1a - Obtaining Voice Records file from AT&T site

1.  Login to AT&T web site ATT.COM

2.  Click on Small Business tab

3.  Click on Log In (under AT&T Premier heading)

4.  Enter username login (cld02004)and password (cld24639) associated with this account

5.  Click on Login

6.  Click on Billing (in blue at top of screen)

7.  Click on Download Billed Usage Details (on left of screen under Menu Options/Billing)

8.  Click on Select Month (i.e., JAN 2011 which is for the November 17th through December 16th)

9.  Click on Billing Accounts

10.  Click on radial button

11.  Select Voice.

Note: This file is run first. Data file is run after this file is processed.

12.  Click on radial button for Select Billing A/C

Create a folder on the Desktop for the month being processed

13.  Click on Billing Account Selection

14.  Select all accounts EXCEPT 824 407 7290 (this is for the Athletics Department and cannot be processed through a load due to Voice Pooling Credits

15.  Click on Download Billed Usage

16.  Click on Save

17.  Drop the completed file into the folder created for that month on desktop

Note: If the file is too large, give a relevant name to AT&T of which AT&T will email notification when the file is ready. i.e. ATT VOICE Open the file to check the Bill Date (for December – will see November through December dates)

18.  Open the Voice file

19.  Expand the columns

20.  Insert new column after Date column

21.  Copy Date column into Notepad

22.  Click on Save using a ‘relevant’ name

23.  Open a new Excel file

24.  Open a new Document file with a file extension for ALL files (helps in locating the text file created.

25.  Click on Open (to open the text file)

26.  Click on Text Import Wizard (this will be used to correct the date format. Billing System must see mm/dd/yy for date to process record correctly)

27.  Click on Radial Button to change to Data Type with Fixed Width

28.  Click on Next

29.  Click on top of file to create break at every 2 digits

30.  Click on Next

31.  Click on Finish

32.  Click in new column (to right of 3 columns for MM/DD/YY

33.  Click on Formulas

34.  Click on Insert Function

35.  Click on Concatenate

36.  Enter A1 in Text #1 field

37.  Enter / (slash) in Text #2 field

38.  Enter B1 in Text #3 field

39.  Enter / (slash) in Text #4 field

40.  Enter C1 in Text #5 field

Note: If this looks correct

41.  Drag cursor down the new column to highlight entire column to be copied into the ATT file (Voice)

42.  Insert new Column (after existing date column)

43.  After existing column and new column is reviewed, if OK – can delete incorrect date column

44.  Once date is fixed, file is saved as ATTVOICE (for voice file)

45.  Click on FINISH –will see message “STATUS = Fetching the Process”

Note: File can be opened to verify record count. If the heading line was left in the file, this should be the only error encountered.

46.  Click on Close

47.  Log out of AT&T site

Part 2a – Loading Voice File into Billing System (Pinnacle)

1.  Login into Pinnacle 6 following login process

2.  Verify using correct “Business Office Admin” to enable access

3.  Click on Usage (at top of screen)

4.  Click on Usage Files

5.  Click on Load file(button)

6.  Source is AT&T (which is the vendor).

7.  Select ATT-VOICE

8.  File Set Title stays the same

9.  File Location – click on Local (radial button to change from Server). File can be processed from the local PC/desktop

10.  Directory stays at default (not changed)

11.  Click on Browse

12.  Go to Desktop

13.  Get the ATT file with .txt (file extension)

Do NOT stop the file processing – this will cause issues.

Part 1b - Obtaining Data Records file from AT&T site

48.  Login to AT&T web site ATT.COM

49.  Click on Small Business tab

50.  Click on Log In (under AT&T Premier heading)

51.  Enter username login (cld02004)and password (cld24639) associated with this account

52.  Click on Login

53.  Click on Billing (in blue at top of screen)

54.  Click on Download Billed Usage Details (on left of screen under Menu Options/Billing)

55.  Click on Select Month (i.e., JAN 2011 which is for the November 17th through December 16th)

56.  Click on Billing Accounts

57.  Click on radial button

58.  Select Data. This file is created after completing the Voice file processing.

59.  Click on radial button for Select Billing A/C

Folder on the Desktop for the month being processed will be used for the Data file as well as the Voice file created

60.  Click on Billing Account Selection
