AF9.1 DOCUMENTED RECALL/ WITHDRAWAL PROCEDURES
PHASE 1: TRACEABILITY / In order for recall and/ or withdrawal procedures to be successful, product traceability procedures must be in place: Traceability is the ability to identify the past or current location of a product, in this case avocados, as well as to know the products history. Being able to trace products as they move through their life cycle, and associate their identities with relevant information, helps to manage risk.
·  All orchards on Waterford Farm are identified on site through block/ orchard numbers, up to date records and maps are kept on file and serve as a cross reference for orchard identification.
·  All production inputs on Waterford Farm are recorded per orchard; these include chemical & fertilizer applications.

·  All harvesting activities on Waterford farm are recorded; these records include all relevant information necessary for traceability, recall and withdrawal of the product.

·  On delivery of product to the Katopé Natal pack house, the delivery note number is allocated a pack house run/ batch number. The run/ batch number is key to the traceability procedure, as this run/ batch number is printed onto all export cartons packed at Katopé Natal.
·  Product is run according to the run/ batch number in order to avoid the mixing of growers and orchards (each grower/orchard is packed using a separate run).
·  Cartons are palletized at the pack house, once the pallet has been completed, a Paltrack barcode and number is allocated to each pallet, the barcode holds all information related to the run/ batch numbers, growers and orchard information necessary for product traceability.
·  On dispatch from the pack house a consignment batch including the Paltrack barcodes for each pallet, is generated and forwarded to the logistics and marketing division of TFFGSA, this enables traceability of the product to overseas clients.

AF9.1 DOCUMENTED RECALL/ WITHDRAWAL PROCEDURES
PHASE 2: RECALL/ WITHDRAWAL / Events or incidents such as, product sabotage, chemicals exceeding MRL’s, blood spillage onto product, glass breakage onto product, incorrect or misleading labeling and incorrect or contaminated packaging are sufficient reason for product withdrawal.
If at any stage during the harvesting/ packing process, the management of Waterford Farm deem it necessary to initiate a product recall due to non-conforming product the following procedure will take place:
·  Waterford Farm management must immediately notify the Katopé Natal pack house of the non-conforming product, and the reason for non-conformity.
·  The Waterford Farm grower delivery number pertaining to the non-conforming product must be recorded and relayed to the pack house manager.
·  With the assistance of the pack house manager, Waterford Farm management staff must complete Form 3.11a Katopé Natal Product Recall & Withdrawal and file in the Audits File (Recall & Withdrawal Section).
·  If the fruit is still being stored at the pack house receiving area, it will be withdrawn and inspected by the receiving staff.
·  If the fruit is being packed it will be inspected by the grading staff.
·  If the fruit has already been packed it will be inspected by the cold room staff.
·  If the fruit has been dispatched the pack house management staff will inform TFFGSA Marketing of the non-conforming product. The marketing department will also be supplied with a copy of the Product Withdrawal & Recall form.
·  The marketing department will trace the location of the non-conforming product using the Paltrack barcode assigned by the pack house.
·  Depending on the location of the affected product the TFFGSA forwarding agents will be instructed by the marketing department to carry out a port interception.
·  If the fruit has sailed, the receiving agents, as well as the overseas client will be instructed to carry out an inspection on the product.
·  If at any stage during the procedure, product is deemed to be unfit for human consumption the non-conforming product must be withdrawn and destroyed.
DOCUMENTED RECALL PROCEDURE – WATERFORD FARM
1.  EVENT: Any unforeseen event that may result in the withdrawal of registered products from the market, such as sabotage or events caused by non-compliance will lead to activation of the recall procedure.
2.  PERSONS RESPONSIBLE: The management of Waterford Farm is responsible for activating this recall procedure. On consultation with the packing facility (Katope’ Natal) management and associated export agents, the decision on the possible withdrawal of the product will be made.
3.  NOTIFICATION OF CUSTOMERS: Notification of customers and the relevant certification body will be done through the Katope’ Natal Pack House Traceability System.
4.  SYSTEM TEST: This recall procedure will be tested annually by Waterford Farm management, in order to ensure efficiency of the system.

KATOPÉ NATAL GROWER EXPORT CARTON INFORMATION PANEL
The delivery note number is allocated a pack house run number. The run number is key to the traceability procedure, as this run number is printed onto all export cartons packed at Katopé Natal.
The grower GLOBAL G.A.P. number is also printed onto the relevant cartons.
