PhD Study Agreement governing the award of a Double PhD Degree

between

Aalborg University and “Name of University” for

“Name of PhD student”

Among

- Aalborg University, The Faculty of Humanities, hereinafter referred to

as “FOH-AAU”.

-“Partner University”, The Faculty of XX, hereinafter referred to as “XX”.

-“Name of PhD student”, hereinafter referred to as “the PhD student”.

This agreement is valid only when entered with reference to Co-operation Agreement Regarding PhD Studies (Framework Agreement) between FOH-AAU and Partner University.

The following has been agreed:

Article 1 – SUBJECT: CO-SUPERVISION AND AWARD OF DOUBLE PHD DEGREE

FOH-AAU and Partner University hereby agree they shall jointly organize the supervision and the award of the double PhD degree of PhD student.

The award of the PhD degree by FOH-AAU is conditional upon the rules set forth in the Danish Ministerial Order No. 1039 of August 27, 2013.

Article 2 – SUPERVISION OF THE PHD STUDENT

A supervisor is appointed from the teaching staff of the Doctoral School of Humanities, FOH-AAU and a supervisor is appointed from Partner University.

The PhD student is to be supervised by the following supervisors:

- At FSS/FOH-AAU:

• NAME

- At Partner University:

• NAME

The supervisor from FOH-AAU is responsible for ensuring that the PhD education meets the demands of the Ministerial Order on the PhD degree during the PhD student’s stay at FOH-AAU. The supervisor from Partner University is responsible for ensuring that the rules regarding PhD education in country of Partner University are met.

Article 3 – ENROLMENT TO PHD STUDIES – SUBJECT OF THE PHD THESIS

The PhD student is to be enrolled in the Doctoral Programme at Partner University and at the doctoral school at FOH-AAU. The enrolment is subject to the rules applying to the Universities where the PhD Student is enrolled.

Article 4 - TIME SCHEDULE

State the enrolment period and the periods to be spent at FOH-AAU and Partner University, respectively, including possible agreements on periodic evaluations.

The PhD thesis must be submitted no later than the end date of the enrolment period. If special circumstances apply, the PhD student may be granted up to one year of extension.

Article 5 – FINANCIAL ASPECTS

To the extent it is necessary that the supervisors travel between FOH-AAU and the partner university regarding supervision, the ordinary travelling expenses defrayed in this connection shall be paid by the employer, unless other agreements are stipulated in section 5. This includes for example necessary travelling expenses, expenses to accommodation, subsistence allowance etc. The supervisor shall claim reimbursement of travel expenses directly to his/her employer in accordance with the employer’s rules for reimbursements.

Article 6 – SUBMISSION AND DEFENCE OF THE PHD THESIS

The submission and the defence of the PhD thesis are to take place according to the rules in the Ministerial Order on the PhD Programme as well as the rules in country of Partner University.

The assessment committee shall be appointed by both FOH-AAU and Partner University in accordance with the Ministerial Order on the PhD Programme and upon endorsement from the supervisors. The assessment committee is composed of one member from FOH-AAU, one member from Partner University and one external member from a third university. Members of the assessment committee cannot be the PhD student’s supervisors.

The PhD thesis shall be defended at FOH-AAU/Partner University. The defense will be carried out in English.

Article 7 – AWARD OF DIPLOMA

If the PhD student successfully passes the public defense at Partner University, following the requirements in the Ministerial Order on the PhD Programme and the requirements of Partner University, both universities are committed to issue the corresponding PhD diplomas, stating in each one of them, “In co-supervision with… (name of the other university)”.

Article 8 – TERM AND TERMINATION

This Agreement enters into force once it has been signed by the parties and terminates when the PhD study has been completed.

In the event that the PhD student terminates his/her employment at Partner University or in the event that he/she decides not to complete the PhD study, Partner University may terminate this PhD study Agreement with 6 months’ notice. The amount already paid to FOH-AAU by Partner University, will not be refunded, regardless of the fact that it was meant to cover future supervision.
