Travel Application and AuthorizationProcedures

Travel Grants are awarded to support the personal and professional development of students; increasethe visibilityoftheUniversity,Collegeandtheprogram;andawardexcellenceinscholarship.Travelgrantswillbe awardedtohelpdefraytravelexpensesinsupportofpresentationsofresearchatconferencesorseminarsthat take place between August 1stand May 31stof each fiscal year.Applications are accepted only fromthose students currently enrolled in, and in good standing with, the Ph.D. Program in Environmental Design and Planning.

TheawardingofthePh.D.Programgrantswillbemadeonafunds-availablebasis,inaccordancewithArizona State University reimbursement guidelines. Applications that are also being submitted to the Division ofGraduate Studies will be prioritized by the date they were received in the program office, and the amount of previousfunding awardedbytheprogram.(Studentswhohavereceivedfundinginpreviousyearswillreceivelowerprioritythan first-timeapplicants.)

  • Studentsareeligibleforonetravelawardperyear(Aug.1-May31).Themaximumfundingfortrips insidetheU.S.is$500,outsidetheU.S.is$700.Somelevelofmatchingfundingfromothersourcesis expected.Studentsshouldcheckwiththeotherfundingsourcetodeterminetheamountoffunding available.
  • Applicantsmustbemakingapresentationofhisorherownworkattheconference/seminar.Ifthe presentation is the result of a group project, only one (lead author) student will be considered forfunding.
  • ThedeadlineforsubmittingapplicationstothePh.D.programwillbetwoweekspriortothepublished DivisionofGraduateStudiesdeadline.WhensubmittingthePh.D.applicationform,studentsmustalso submit thefollowing:
  • the conference acceptanceletter;
  • a brief abstract of theirpaper;
  • aconferencebrochurethatoutlinesregistrationfees,mealsincludedinregistration,hotelprices; and
  • either a copy of the airline itinerary or a print-out of the estimated airline ticket which indicates departure and returndates/times.
  • Travel Authorization forms are completed by the program, based on estimated expenses submitted bythe student. For insurance and liability purposes, the Travel Authorization must be signed by the travelerand approved by our Dean’s office prior to departure. The approval of this form is also necessary to requesta traveladvance.
  • Students are responsible for making their own travel arrangements and conference reservations.Students are encouraged to take advantage of discounts for early registration andtransportation.
  • StudentswhoareonlyapplyingforfundingfromthePh.D.programandrequireatraveladvance,must submit their application at least three weeks prior to their departure date, to allow for processing.Students whosubmitrequestsafterthistimewillnotbeeligibleforadvancesandwillbereimbursedattheendof theirtrip.
  • Studentsshouldprintacopyofthe“TravelExpenseLog”fromtheformswebpageandtakeitwiththem. This log will help track all expenses, as well as the currency exchange rate on internationaltrips.
  • All original receipts will be required for reimbursement upon completion of the trip.Receipts mustbe turned in no later than 7 days after their return. Students must also include the completed “Travel Expense Log”.
