JOB DESCRIPTION

I. IDENTIFYING INFORMATION

Position Title: RECEPTIONIST SECRETARY

Place: Sacred Heart Church, Fairfield, Ohio

Status: Full time, Nonexempt, 12 month

Reports to: Pastor, Business Manager

II. PRIMARY FUNCTION OF THIS POSITION

The Receptionist welcomes and greets people who come into or telephone the parish office.

III. POSITION CONTENT

A. MAJOR POSITION RESPONSIBILITIES AND REGULAR ACTIVITIES

1. Provides receptionist service for the parish office

·  Welcomes and greets people who come into the parish office

·  Answers phones, takes messages and/ or refers callers to the appropriate person

·  Registers new parishioners in parish data system

·  Assists with copy work and trains others how to use office/clerical equipment

·  Handles general correspondence and clerical support

·  Prepares weekly bulletin in Publisher

·  Prepares bi-monthly newsletter in Publisher

·  Data Entry

IV. POSITION SPECIFICATIONS/REQUIREMENTS

A. SKILLS, KNOWLEDGES AND/OR ABILITIES (SKAs)

·  Must have good interpersonal communication skills

·  Must have basic knowledge of how the parish operates and be able to grasp quickly how the parish office functions

·  Must have skill to operate phone system, including voice mail

·  Must have ability to maintain confidentiality in all matters

·  Must have ability to communicate verbally and in writing

·  Must have good word processing/computer skills.

·  Proficiency in Microsoft Word a must; PowerPoint and Publisher a plus

B. EDUCATION, TRAINING AND/OR EXPERIENCE

High school or high school equlivalncy

·  Experience working with the public

·  General clerical experience

V. WORKING ENVIRONMENT

This position may include some evening and weekend hours.
