Dear Parents/Carers

I am writing to give you further details of our plans for the Battlefields trip to Ypres in June 2016.

An Information Evening will take place on Wednesday 4th May 2016 at 6.30pm in the Main Hall. During the evening we will explain our plans for itinerary for the trip, to discuss clothing required and go through things such as code of conduct/behaviour and expectations. This is an important meeting and we expect every student and his/her parents to attend.

Student Information Please fill in all the forms and return to me personally by Friday 29th April 2016 in an envelope with your child’s name and marked clearly with the title ‘Battlefields Tour Information’ also on it. Furthermore, if you have not already completed a Medical Form, then this also should be returned in the envelope.

Passport and EHIC Cards

It is your responsibility to ensure that your child is in possession of both a passport and a European Health Insurance Card (EHIC).Please apply in plenty of time to the relevant authority. Failure to comply will result in your child not being able to travel so please act now. I will collect passports and EHIC cards in the week before the trip departs so please do not bring these essential documents on the evening.

If your child does not have a UK Passport you will need to ascertain if any visas are required and apply for these. Crucially, passports must remain in date for the duration of our visit. Please check your passport very carefully and renew it if necessary. Please do not leave this until the last minute.

As a condition of our insurance, every student must be in possession of an EHIC. It is therefore your responsibility to ensure that your child has a valid and up to date EHIC. If you need to apply for an EHIC then you can in one of the three following ways

·  By calling the EHIC Applications Line on 0845 606 2030

·  By post – pick up an application pack from your local Post Office
