PARTICIPATION AND OUTREACH COORDINATOR

Terms and conditions:Normal Working Hours 35 hours per week flexi time, (this includes evening and weekend work)

Salary:£19,600per annum

Holiday entitlement:30 days paid holiday per annum, inclusive of eight Statutory Bank Holidays increasing by one day per year of service, up to a maximum of 35 days per annum

About National Centre for Circus Arts

The National Centre for Circus Arts is a registered charity and one of Europe’s leading providers of circus education. Based in a magnificent Victorian power station adjacent to Hoxton Square, we involve thousands of people in the creation and performance of circus arts every year. Over half of the annual income needed to run the National Centre comes from grants and donations.

Our diverse range of work includes the UK’s only BA Hons degree in Circus Arts, a structured progressive training programme for under 18s and professional development opportunities for aspiring and established performers. Adults and young people can take part in a range of recreational classes and we provide workshops and away days for the business community.

The role

The Participation and Outreach department provides courses and training opportunities in circus arts for people at all ages and stages. Programmes includerecreational courses and classes from young people aged 3 and up through to adults, Further Education and progressive training for 11 – 21 year olds. Our remit is national as well as regional: we run the UK’s only circus Centre for Advanced Training strand in Partnership with The Place, and work with youth circuses across the country through our annual National Youth Circus Event.

Working as part of a team, you will provide comprehensive administrative and coordination support and ensure ourprogrammesrun smoothly. This is a challenging administrative role which is ideal for someone with an excellent eye for detail, strong organisational skills and an interest in education and training. Please note this role involves regular evening and weekend work.

Responsibilities

Provide comprehensive administrative support for our programmed activities, including responding to enquiries, managing room bookings, minuting meetings and supporting the customer booking process.

Provide coordination support to ensure programmed activities run smoothly through finding teacher cover, ensuring teachers have the necessary equipment they need to deliver classes effectively and providing up-to-date information about activities.

Represent the department and be a key point of contact while programmed activities are running for participants, other members of staff and the teaching team.

Maintain up-to-date records on participants including attendance registers, ensuring all user information is secure and confidential whether in paper or electronic form, and adhering to our data protection policy.

Maintain accurate and up-to-date records of activity, including supporting monitoring and evaluation and providing information for funding reports.

Undertake project management as determined by line manager.

Be a first aider, given appropriate training.

Undertake any other duties as may reasonably be requested.

Person Specification

Essential

  • Excellent organisational and time-management skills
  • Strong administrative skills
  • Excellent IT skills in Microsoft Office, including Excel and Outlook
  • Customer service experience
  • Strong interpersonal skills with an ability to communicate effectively with a wide range of people at all levels
  • Experience of responding to enquiries face to face, over the phone and by email
  • An understanding of issues around keeping young and vulnerable people safe from harm
  • The ability to work supportively with others as part of a team and be flexible to changing circumstances
  • An interest in education and the arts

Desirable

  • Experience of duty management
  • Knowledge of computerised scheduling and box office systems such as CELCAT and Spektrix
  • Knowledge of Health and Safety
  • Experience of learning environments for all ages and stages
