Job Description

Tormead is an interdenominational, academically selective, independent day school for girls. There are c.750 girls aged 4-18. It is a member of the Girls’ Schools Association (GSA) and the Independent Association of Prep Schools (IAPS).

The School, founded in 1905, stands in grounds close to the centre of Guildford. The Senior School caters for girls aged from eleven to eighteen and the Junior School, organised as a largely self-contained unit on an adjacent site, provides for girls aged from four to eleven. Almost all girls in the Junior School gain admission to the Senior School at the age of eleven. More than half of eleven year old entrants are drawn from many other schools, both independent and state-maintained primary.

The School has just completed a major redevelopment of classrooms and dining hall; specialist accommodation includes a range of Science and Technology rooms, a Sports Hall and Gymnasium and a Performing Arts Centre for music and drama. Tennis and netball courts on site are supplemented by our Surrey Sports Park partnership which enables us to use state of the art sports facilities.

Purpose of Role:

Report to the Bursar. To assist the Bursar in the provision of the sales ledger facility and to provide cover as required in the work of the Bursary. To embrace at all times the school's values. Actively support the aims of the Bursary and its commitment to excellent service.

Duties:

Detailed below is a list of the duties of the Sales Ledger Clerk. This, by its nature, cannot be comprehensive and the postholder may be required by the Bursar to perform other tasks as they arise.

Responsible for all aspects of the Sales Ledger including:

·  Preparation and distribution of termly fee invoices and dealing with queries from parents relating to same

·  Administration and maintenance of the Pupil and Parent sales ledger database

·  Listing of fees deposits and reconciliation to the nominal ledger

·  Reconciliation of fees and discounts and the maintenance of the discounts database

·  Disbursements received from teaching staff and all incidental expenses onto the individual pupil billing ledger accounts

·  Daily recording of receipts and banking including cheques for trips

·  Administration of direct debit payments

·  Maintain record of residential trips and ensure individual trip accounts are balanced

General Bursary Duties:

·  Assist in administering the lunch pass system, including temporary passes, keeping records of same

·  Trips – follow up outstanding payments – keep records of same – liaise with front office

·  To provide cover in the Bursary in the absence of the other members of the Accounts Department

Miscellaneous Duties:

·  Provision of financial information as required by the Bursar

·  Commit to training through the Staff Performance Review procedure

·  To dispense petty cash and bank / cash cheques at the bank

·  Any other ad hoc duties as requested by the Bursar

The Ideal Candidate: The ideal candidate will have excellent administrative and personal skills and be committed to providing a first-rate service.

The Post: This is a part time post commencing in June 2016. This post is to cover maternity leave.

Hours: 20 hours per week (10.00 am to 3.00 pm) Monday to Friday. This is a term time position with an additional 28 days to be worked during the school holidays.

To meet the peak demands of some of the work in the bursary the postholder may be required to work additional hours. This will include providing cover for colleagues on leave.

Remuneration: Tormead Pay Scale 22 -25 plus Tormead Allowance (Salary pro rata £12,965). The closing date for applications is Tuesday 3rd May 2016.
