Notes of guidance from UK BICEP Coordinators--on completing the student form

1. When you go on site visits, your hosts will often want a thumbnail sketch, so that they know what experience is being brought to the visit.

2. Participants always expect a name and address list at the end of the programme. With your permission, we will include your name and address etc, but will withhold such details as you wish.

3. These details do not form part of the information to be shared. We like to keep a record of the gender split and age range of attendees, since we are often asked about such characteristics of the group.

4. Please provide as much detail as you can (after consulting your US professor about the feasibility of your ideas and ambitions) but do NOT add any sheets, please.

Topic of paper and practitioners:

You will be allocated to a Research Adviser (usually a present or past member of the Bristol faculty or a current practitioner). This additional information will help him or her to customize your experience in Bristol.

Details of allocations will be available from March 14th, 2009, when you will be able to consult with your US professor and perhaps request an alternative allocation.

5. Despite the persistently favourable evaluations (ask your recruiting professor) of our standard accommodation, a minority of enrollees still want to pay extra for a private bathroom in their single bedroom. Very little--if any--of this accommodation will be available at Goldney Hall, Bristol (at a likely supplement of $375 in total) but we may create a few semi-private facilities (bathroom exclusive to a pair of bedrooms) at $100 per participant.

So the best we can do is to create a "reserve list" and send out, in March 2009, offers of private accommodations, inviting confirmation and payment.

6. Previous cohorts of students asked to be segregated on grounds of sex (not wanting to be seen by the opposite sex en route to the shower) and/or age (some over 40’s thought the under 30’s partied too much). Recent attendees have rejected both of these discriminatory measures, but we continue to ask – just in case.

  1. Your flight should arrive at London Heathrow (LHR) by 9:00 A.M. to ensure your group travel accommodations to Bristol. The coach bus to Bristol will depart LHR at 10:30 A.M.

We meet several flights--a complicated operation for which we need FULL information, please:

final point of departure in the USA; airline; flight number; ETA; and airport of arrival (usually London Heathrow (LHR)) or London Gatwick (LGW).

We normally hope to make two pick-ups for free transportation to Bristol--both at LHR: one by 9.30 am; the other by noon (or maybe a little later, if that's fair to those who have been waiting). Flights from the USA direct to Bristol are currently expanding and these may appear to offer you a good option, but see “False Economies” below. If the final leg of your journey is from Europe, however, there are often cheap flights to Bristol arriving in the evening. It may be possible to arrange a night’s accommodation in Bristol on July 1 at a small extra charge, so that you can not only enjoy a full day in Europe, but also avoid London and the wait at LHR on July 2.

  1. Alternatively, if you decide to fly in a day or two early, we do NOT need your arrival details, but WILL NEED a phone contact for you in London (or wherever). We'll also need to know whether you'll make your own way to Bristol or meet the free transport at LHR.
  1. In planning your flight, beware of three false economies:

If you fly into London Gatwick (LGW) early enough in the morning, you can shuttle inexpensively to LHR for a free pick-up. If you arrive later, the express bus from LGW to Bristol will cost you about $80.

If you decide to fly home early on Thursday July 16th – rather than stay on a night or two in London – you may have to make your own way to LHR or LGW, if our free transport from Bristol to London will not get you there in time.

If you fly direct to Bristol, remember that the programme usually ends with a visit to Parliament in London, so you will need to book your return flight from Bristol to the States late in the day so as to allow time to return to Bristol from London after the visit to Parliament. If there are no return flights late in the day, you may have to find accommodation in Bristol for one night. (Unless you can find a flight which lets you arrive at Bristol and depart from London – we have never found one yet.)
