POSITION DESCRIPTION

JOB TITLE: OFFICE ASSISTANT

POSITION STATUS: FULL TIME, REGULAR*, NON-EXEMPT

SALARY RANGE: $2,600.00/MONTH TO $3,466.00/MONTH, DOQ, DOE

*TRIAL SERVICE PERIOD: SIX MONTHS MINIMUM (EMPLOYMENT REMAINS AT-WILL AT ALL TIMES)

GENERAL STATEMENT

This is aposition in which the employee will be required to perform administrativeand accounting duties as assigned. Advancement through the salary range will be based on the employee’s successful performance of his/her duties as determined by the Authority Manager and the Executive Assistant.

SUPERVISION RECEIVED

This employee reports to the Authority Manager, but will receive daily supervision and training from the Executive Assistant.

GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES

  1. Office Assistant Duties
  • Provide clerical and administrative support to management
  • Answer and manage incoming calls
  • Monitor, screen, respond to and distribute incoming communications
  • Receive and interact with incoming visitors, customers and vendors
  • Record, transcribe and distribute meeting minutes
  • Research and monitor office supplies and reorder as necessary
  • Research, collect and analyze data for reports
  1. Financial Duties
  • Comply with all local, state and federal government reporting requirements
  • Assist Executive Assistant with maintaining accounting software
  • Assist Executive Assistant with managingvarious outsourced functions
  • Assist with reconcilingaccounts including bank statements, LGIP, 457(b), property taxes and general ledger accounts
  • Maintain petty cash fund
  • Process Customer Utility Billing
  • Create Past Due reports and lock offs
  • Process Cash Receipts, including recurring payments, ACH, and bank deposits
  • Input Accounts Payable and process checks.
  • Assist with providing information to the external auditors for the annual audit
  • Other duties as assigned by the Authority Manager or the Executive Assistant

MINIMUM QUALIFICATIONS

  • 1 year accounting/bookkeeping experience
  • Must be insurable under the Authority’s comprehensive crime coverage policy
  • Excellent communication skills including: verbal, written, phone and customer service
  • Proficient computer skills including: Word and Excel

  • Current or prior hands-on use of Springbrook accounting software is desirable

SPECIAL REQUIREMENTS

  1. A conditional post-offer/pre-employment screening for drugs, including marijuana, as per the Employee Handbook is required.
  2. A conditional post-offer/pre-employment medical examination is required.
  3. A conditional post-offer/pre-employment background/credit check is required. An essential function of this position requires access to financial information not customarily provided in a retail transaction that is not a loan or extension of credit. This position also requires a surety or fidelity bond and/or coverage under the Authority’s comprehensive crime coverage policy.
  4. The employee must have a current driver’s license and be insurable with the Authority’s insurance carrier. A conditional post-offer/pre-employment driving record check is required
  5. Employee must maintain personal phone service
