JOB DESCRIPTION

Location:The School operates from two sites situated approximately 150 metres from each other; this position will be based in the Senior

School.

Main Duties:Providing an efficient, confidential secretarial support service to the Headmaster, in line with the school’s ethos, policies and procedures. This busy and varied role offers the ideal opportunity for an

experienced secretary, perhaps moving to a PA role. This post is a full-time position, working throughout the year.

The Hours:8.15am – 5pm Monday to Friday.

These hours may occasionally vary as required.

Out of normal school hours the Headmaster’s PA would be required to attend the following:-

Carol Service

Open Evening

Again, these may vary from time to time as required.

Salary:Negotiable.

Pension:Optional Group Pension for Support Staff

Sick Pay:3 weeks sickness benefit is payable after 12 months service.

Skills Required: A natural, friendly, confidential and positive manner is absolutely

essential, as is the ability to prioritise work and to remain calm, flexible and adaptable enough to cope with the many demands placed upon

thiskey position role.

Applicants should possess sound judgment and excellent interpersonaland communication skills. A high command of both written and spoken English are essential for this role, together with an approachable,friendly and confident manner.

The ability to work autonomously as wellas part of the School team is essential. Previous working experience within the educational sector would also be an advantage but notessential.

The successful candidate will be proficient in IT and have a thorough

working knowledge of Microsoft Office including Windows and

Excel spreadsheets. A good working knowledge of Sims database

wouldbe an advantage but is not essential.

The successful candidate will be expected to undertake First Aid

training.

Day to Day Responsibilities:

To act as Personal Assistant to the Headmaster in the performance of his professional duties, handling all telephone enquiries and

`correspondence for the Headmaster in the first instance.

To type all of the Headmaster’s correspondence, reports, etc. ensuring

that the highest standards of communication and documentation are

maintainedat all times, with meticulous attention to detail.

To arrange appointments and meetings as required.

To attend meetings with the Headmaster when required to do so and to take Minutes, including meeting Parents, pupils and with staff.

To maintain the Headmaster’s diary.

To open and deal appropriately with incoming e-mails.

To liaise with parents, staff and pupils as required by the Headmaster.

To act as First Aider as required.

To perform any other duties which the Headmaster may request in order

tocarry out his professional responsibilities.

Our Lady of Sion School is committed to safeguarding and promoting the welfare of children. An enhanced DBS check and workplace references will be required; a six month probationary period will also apply. Evidence of eligibility to work in the UK required as applicable.

ADMISSIONS REGISTRAR JOB DESCRIPTION

  • Administer all aspects of admissions and enrolment to Our Lady of Sion Junior and Senior School.
  • Keep database of all prospective pupils and new admissions on SIMS.
  • Liaise with the Head on all aspects of admissions.
  • To act as a focal point of contact for enquires made in person, by telephone, email and letter by prospective parents and respond by sending out the appropriate literature, arrange visits and conduct tours.
  • Arrange interviews between the headmaster and prospective parents/students.
  • Follow up on visits and maintain contact with parents.
  • Oversee entrance tests and arrange requests for school reports from previous schools.
  • Send out all offer letters and keep records of acceptance / rejection.
  • Liaise with Learning Support with regards any potential students who may have learning requirements.
  • Organise taster mornings for potential students.
  • Organise Open Evening/Morning events.
  • Provide statistical data re admissions.
  • Provide termly admissions reports for Governors.
  • Liaise with the Bursar with regards to any bursary applications.
  • Ensure admissions information is up to date on the school website.
  • Liaise with WSCC with regards to the Free Entitlement Grant and process all termly grant funding claims, advising the Bursar accordingly.
  • Keep a record of Nursery attendance and free place entitlements.
  • Keep an up to date admissions register using SIMS.
