OneDrive: Quick Guide

This guide is intended for students and staffwho are using OneDrive (via their University Office 365 account) to store, access and share University files.

Microsoft OneDrive is cloud storage that you can access anywhere with an internet connection. You have 1Tb of space available to you.

Access OneDrive

  1. In a web browser go to mail.bradford.ac.uk and sign in using your Office 365 username and password.
  2. Click on the dotted icon (waffle) atthe top left, just above the search bar.
  3. Select OneDrive from the list displayed.

Create a folder

  1. Click on New and select Folder.
  2. Enter a name and click on Create.

Note that you also have options to create a Microsoft Office online file, or a link.

Upload files

  1. Click on the Uploadand select Files, or Folders.
  2. Navigate to the file or folder on your computer and select Open (for a file), or Upload (for a folder).You can also drag and drop files, or copy and paste them.

Right click on a file once it’s uploaded to get options to delete, move, copy, rename etc.

Share files with others

  1. Click on Private in the Sharing column next to the file you want to share.
  1. In the panel that opens, click on Manage Access.
  2. Click on Grant Access at the top, and type in the email address of the person you are sharing with. Add as many peopleas you need to.
  3. Type in a message and select Share. They will receive an email inviting them to view the file, along with a link.

View files shared with you

  1. On the left sidebar click on Shared. This showsfiles others have shared with you.

Restore a previous version

  1. Right click on the file and select Version History. This will show all the saved versions.
  1. Click on the down arrow next tothe version you wish to restore and confirm that you want to do the restore.

Delete and recover a file

  1. Right click on thefile and selecting Delete.

Important: please be careful when deleting files from OneDrive. Deleted items are moved to OneDrive's Recycle bin and retained for 90 days (or until the bin is emptied), but after this time files cannot be recovered. If the file is still in the Recycle bin, you can recover it by following these steps:

  1. On the sidebar on the left, click on Recycle bin.
  2. Rightclick on the file and select Restore. This will return it to your OneDrive storage.

Move files between folders

  1. Right click on the file and selectMove to.
  1. On the right sidebar, select Your OneDrive, then select the destination folder and click on Move here.

Enable and disable notifications

  1. Click on the Cog icon at the top right.
  1. On the right sidebar that appears, click on the dropdown next toNotifications. There is an option here to enable or disable notifications for reminders and emails, as well as their sounds.
