One-Client Family

Unfortunately, we are sometimes faced with the difficult situation when our clients or a member of their family passes away. PantryTrak lets a member agency handle this situation in the system with dignity while retaining the historical information.

One-client family

For those single client families, when the only client passes away, no action is required. PantryTrak will not allow you to delete the client from the system and the record remaining in the system is perfectly fine and does not affect any of the operations.

Family Member

If a member of a client’s family passes away that is not the Head of Household, PantryTrak has a tool that makes it easy to update the client record.

From the client record page, select the Family Members tab at the top of the page. This tab will take you to the Family Members page. This page gives you the ability to customize and manage the members of a client’s family. At the bottom of the page, you will find the box that has all of the family members listed out with an expanded section on Family Members status.

For the family member that passed away, mark them as Deceased. Then reload the page. This will update the record, adjust the family size, and remove the deceased family member from the client’s front screen.

Head of Household

When the Head of Household passes away and the family wishes to continue receiving food, a member agency has to take a couple of steps to update the record.

Open up the Family Members tab and scroll to the bottom of the page. As you will see, the Head of Household does not have the option of changing their status. Therefore, one of the other adults in the family will have to be designated as the new Head of Household.

In the above example, Cookie Monster is the Head of Household but has passed away. So Cookie Crisp is going to be the new Head of Household. You must flip the personal information between the two individuals.

Make note of the fact that Cookie Monster is a female whose birthday is 12/01/1954 and that Cookie Crisp is a male whose birthday is 09/01/1962.

Because you can edit everything in PantryTrak, it’s easy to just switch the family member’s information so that Cookie Crisp is now the Head of Household. And, then mark Cookie Monster as Deceased.

This will update the record and remove Cookie Monster from the family’s front screen
