Student Assistant Job Description

Title:FWS Student Office Assistant

Pay Rate:Level II: $8.50 - $10.25 Depending on experience

10-20 hours per week depending on award/flexiblehours

Position:

Student Assistants are primarily responsible for providing varying levels of general office, clerical, and secretarial support for department staff. Student Assistants work directly with, and report to, the Community Engagement Centerdepartment Analyst. Day-to-day work is initially performed with direct supervision and detailed instructions changing to an occasional review as more independence is achieved.

Essential Functions:

Clerical support:Answer telephones; record and deliver messages; process outgoing and incoming mail and faxes; compile, duplicate, sort, edit, update, and file documents; make labels, nametags, etc.; compose letters and emails; maintain Community Engagement Center email account (send and receive emails, reply or forward as appropriate); prepare materials for Community Engagement Center events; record and distribute meeting notes; data entry; maintain accurate files and databases.

Additional Functions:

Public relations:Design publicity flyers; draft and disseminate event notifications; track and confirm event registrations; design invitations, recognition certificates, etc. May assist CommunityEngagementCenter staff to research, prepare, and submit article requests and event notifications to campus publications (Hornet, Bulletin, Events Calendar, etc.)

Student liaison:May assist Center staff to: distribute forms and correspondence to constituents (faculty, staff, and community partner organizations); disseminateinformation and updates regarding CommunityEngagementCenter events, services, policies, etc.; process forms; compile data and program statistics.May assist CommunityEngagementCenter staff with classroom presentations and student orientations.

Other: May help prepare meeting rooms, provide on-site event support, run on-campus errands, assist with supply inventory, complete components of a specialized project, assist with website updates, maintain events calendar, etc. With advanced training, student assistants may assist CommunityEngagementCenter management staff in coordinating department event and meeting logistics. Special Skills and Abilities:

Ability to use standard office equipment (pc, laser printer, calculator, photocopier, fax, digital phone system). Proficiency in MS Office (Access, Excel, Outlook, PowerPoint, Word) strongly preferred. Familiarity with Adobe Dreamweaver, Illustrator, and Photoshop/Photoshop Elements a plus. Data entry skills, database management knowledge and abilities, ability to perform basic arithmetic functions, and working knowledge of English grammar, spelling, and punctuation strongly preferred.

Requirements:

Must be a recipient of a current year Federal Work Study award. Undergraduate (Sophomore or Junior standing) preferred. A student who is interested in continuing his/her work with Community Engagement Center for at least one full academic year is desirable. Must have excellent communication (written, oral and interpersonal) skills. Must be reliable, organized, and be able to meet deadlines.

Training:

This is an entry-level position for which on-the-job training is provided. Depending on experience and pre-existing knowledge, skills, and abilities, students may be hired on an interim basis as a clerical student trainee. Student trainees must demonstrate continued progress and improvement in work habits, general office knowledge and abilities, and demonstrate clerical aptitude and interest in order to continue employment and be promoted to full clerical student assistant.With training and/or sufficient demonstration of knowledge and skills, Clerical Assistant will receive work activities of increased responsibility and complexity.
