Committee Meeting Minutes

June 22, 2017

Present: Chris Goelz, Christine Cimini (by phone), Craig Beles, Joel Greene, Nancy Highness, Melissa Fuller, Page Garcia, Sasha S. Philip (by phone), Kathy Kline, Mattie (?)

Committee roles – Committee member are expected to attend all meetings. In-person attendance should be the norm – but contact the chairs if you need to attend by phone. Attached is our growing list of committee liaisons. More volunteers welcome.

Section meeting – Positive meeting with section. Sasha, Christine, and Courtney will be following up.

Fundraising options – We will continue to work on a new fundraising model. This will be part of the discussion with the Section. It is possible that we would move to a more traditional model or partner with other organizations. We can explore raising fees, increasing attendance, looking for other types of sponsors (eg, restaurants and hotels) or possible commercial sponsors. Ideas are welcome.

Conference format – Consensus is that we will try ¾ days on Thursday and Friday. Reception will be on Thursday and planned lunch will be on Friday. Thursday morning will be an opportunity for meetings and networking. We may start with a plenary on Thursday or possibly both days. Chris will work on possible architecture.

Timeline – Kathy has sent suggestions. Melissa will review and send suggestions. Chris will circulate updated timeline before the next meeting.

Save the date notice – Save the date notice will go out between July 4 and July 10. It will provide information regarding the conference, the RFP process, and the website. Melissa will look for testimonials. Kathy will send to the usual suspects.

Programs or themes – Tabled for next meeting. Come with ideas.

Invited Speakers – Melissa will review evaluations for suggestions and assemble a list to discuss next meeting.

Marketing targets – We are all encouraged to find points of contact for sending out notices to possibly interested groups. Please help. Some ideas (including a non-exclusive volunteer when we have one) are:
