Minutes reviewed from last meeting

  • End of season presentation will be 14th May 2017.
  • Club has said no to Bourton Rovers who asked to use the Northleach pitches to train on due to concerns re the state of the pitches for matches.
  • There have been talks with Farmington Trust re purchasing a defibrillator nearer the football pitch, however there are finance issues regarding this and the fact that someone would need to be responsible for it 24hrs a day. At present the nearest one is situated at the fire station.

Action - Vic to look into charity support for this equipment.

  • Goals and balls have been replaced this season.
  • Document to be produced to brief coaches/parents re media, Vic to discuss with Neil.
  • Kitchen is still not being used but Lance and Peter put forward a proposal to hire a professional coffee machine for £20 per month. Agreed by all that this needs looking into further to find the most cost effective option/buy a kettle to use as an alternative option.

Action -Lance/Peter to look into this further.

Finances

Vic reports that the club is in a healthy state and that all money generated returns to the club for the benefit of the children.

There have been questions raised by some parents and committee members over recent months regarding management of the finances and accounts for the club.

Coaches requested that there is more transparency regarding the club accounts and for the accounts to be formally audited. Committee members would like a clearerunderstanding about how the money is spent and managed.

Janet explained that details have been available and presented during previous meetings regarding the income and outgoings of the club accounts. She explained that as some coaches were not present at previous meetings they may have not have seen this information. It had been looked into to, to have the accounts audited but she had been given a price of £700 to undertake this. Still outstanding

Janet provided a spreadsheet of accounts (see attached docs),

  • Opening balance of club account 01/06/16 - £3,722.61
  • Most subs have now been collected totaling £9045, there is approximately £500 outstanding.
  • Expenditure as detailed in spreadsheet - £8837
  • Plan is to have £2000 in account to start off new season.

Lance reports that U8’s team do not have enough matching kits.

Action-Helen to ask all U9 parents to return last year’s kit to Colin so that it can be handed down to U8 players.

Club now has funds to purchase enough kits for all players for U9, U11, U12 and U15 teams. U9 coaches have purchased their own tracksuits via Macron.

At the end of the finance discussion Janet announced she has decided to standdown from the treasury role as soon as an alternative person has been recruited to take over. Janet shared that she has been the club treasurer for 3 years, however due to recent comments she has been made to feel like her management of the accounts is in question. She explained that she did not wish to be put in this uncomfortable position and therefore it has left her no alternative but to stand down as treasurer.

Coaching/Charter Standard

All coaches need the FA Level 1 coaching qualification in order for club to gain Charter Standard. North Wilts and Cheltenham leagues require the club to be actively working towards the Charter Standard.

It also requires 2 coaches to have Level 2 coaching qualification, Neil has his,requestwas made for one of the coaches from the younger agegroups to work towards it.

FA offers first aid courses,

If any coaches would like to gain goal-keeping or refereeing qualifications, please just ask.

Pitches

We are running short on space for matches, if anyone knows of any pitches the cub can use within a 5-mile radius of Northleach please let Vic know. Chedworth and Sherborne pitches are being looked into by Vic.

Welfare checks

Prior to the meeting Paula emailed committee members Safeguarding Checklist to read through and adhere to.

All teams need attendance sheets and games and training sessions.

Action-Helen to compile attendance and contact lists for U9 and U11 teams.

Online club brochure

Action-Jon Farley to put information together for this document for parents and club members, to include roles and responsibilities of club members, policies, welfare, FA respect rules, constitution.

Mid-week training

Plan to extend U9 and U11 coaching sessions from 45mins to 60mins from beginning of December.

Action-Jon Farley to ask U11 parents to help support as U9 coaches are currently doing both training sessions due to work commitments of U11 coaches.

U8 team is using the Westwoods Centre for midweek training.

DBS

The club requires all assistants to all teams to undertake DBS clearance. Please speak to Janet or Helen (secretaries) to organise this with Paula.

Equipment

New aluminum goals have been bought for U12 and U11 teams. There has been money allocated to replace U9 plastic goals to aluminum ones, however it was decided to wait until the storeroom has been cleared out due to lack of storage space for any additional equipment.

A date needs to be set to clear out the storeroom as previous dates have been cancelled due to bad weather.

Action-Vic to set date when teams are playing at home to empty and tidy store room.

Action-Vic to look into removing the board (in place to prevent flooding) from door of storeroom as it is difficult to lift goals over it.

Lance has requested goal mats for U8 indoor training sessions.

Action-Vic to look into these/pricing.

AGM

Part of the Charter Standard requires the club to hold an AGM which is open to parents. Plan is to hold this at the end of the season on a Sunday and will be an opportunity to share future plans for the club and discuss finances. Date TBC.

Christmas Party

Vic reported that organsising Christmas parties is down to team coaches for each age group due to vast age differences within the club and sheer number of children registered.

Dale Hackling is looking into training days at Cheltenham Town (Hacklings sponsor Cheltenham Town). This will involve Northleach children being flag bearers or joining in with training and then having the opportunity to watch the game. Date TBC.

AOB

Request from Alan to coaches to remind players not to walk along footpath as this leaves a lot of mud for other users.

Janet reminded all that the club shop is open now accessed via Pitchero, items would make good Christmas present ideas.
