NON ARC POSTING ENHANCEMENT GUIDE

The Non Arc Commission Posting tool has been updated. It largely operates as it always has, but with a few new features. Also, the field order has been rearranged for a better layout and there are a few new buttons. Please review the documentation below. MODE (Create vs. Update):

Upon opening the page is set to create a new record. First select the Commission Type and the page will reset to display the appropriate fields for the Commission Type selected. Enter the required fields, and click the “Create” button to save a new posting. After saving, the submit button is now titled “Update”. This indicates that the page data now represents a record in the database for editing. Any field changes saved will now be updating the record in the database. To return to create mode, choose from the following options:

·  Click the “Clear” button.

·  Delete the Confirmation number and tab off the field.

·  Click the “Copy” button. This will clear the Confirmation Number, but keep the remaining data to use for creating the next record.

Note: It is important to distinguish between “Create” mode and “Update” mode to be aware of when the page will create a new record or will update an existing record. Anytime the page displays an active record for editing, the submit button is set to “Update”. It should also be noted that when in update mode, all data will be cleared during page reformatting when a different Commission Type is selected. In create mode, common data elements will persist on Commission Type changes.

FIELDS:

Confirmation Number (textbox):

The Confirmation Number identifies a commission record in the database. It can also be used to retrieve a record from the database by clicking the “Get” button.

Get (button):

The Get button is enabled when the Confirmation Number field is populated. It will retrieve the record for the current Confirmation Number from the database. If the record is not found, the user will be notified with a pop-up message. Also, the “Get” button can be used to refresh the current record with the values in the database.

Copy (button):

The copy button is available when the page represents an active record in the database (Update mode). Clicking the Copy button will clear the Confirmation Number, but keep the rest of the data for use in creating the next record. The page will change to “Create” mode. This allows the user to easily create multiple records without having to re-enter data.

Close (button):

ALWAYS use the “Close” button, not the system close “x” button at the top, right of the page. If the “Close” button is not used, the data on page when closed will remain upon re-opening the page!

Commission Type (drop down):

This drop down changes the selected segment type. When a new Commission Type is selected the page will clear the current record and reformat the page with fields appropriate for the selected Type. In update mode, all fields are cleared. In create mode, common data elements will remain.

Nexion Cruise Block Space Contract Number (textbox):

This field is only available when the Commission Type is “Cruise”. When the user enters a Contract number, the Destination, Company, Ship, Date and Number of Days data are populated with the data from the Contract’s record.

Ship (dropdown):

The Ship dropdown is only visible when the Commission Type is set to “Cruise”. When the “Company” is selected, the Ship dropdown will populate with the ship(s) associated with the selected Company. A Ship be selected to create or update a cruise posting. If the selected Company does not have any related ships, the Ship dropdown will display “No Ships Listed”, and a selection is not required.

Remarks (textbox):

The Remarks field is for display only (as it was when viewing a posting).

Assign Sale to Agent (drop down):

The Assign Sale to Agent drop down list appears for owner/mangers (OM) with agencies that have two or more active agents. The dropdown will appear only when creating a new record (not when in Update mode). When creating a new posting, the OM can select any member listed in the drop down (it defaults to the OM), and the posting will save to the selected agent’s records. If saved for another agent, the data will remain for review but not be updatable (the fields are disabled). At this point, the OM can Clear the record, Copy it for use with the next entry, or can Delete the record. After Clear, Copy or Delete, the OM will not have access to the assigned record. Only the assigned agent will be able to access the record after it is created. Also note that the assigned agent will remain selected in the Assign Sale to Agent drop down for the next entry. The user will have to reset the dropdown to assign records back to him/herself or to a different agent.

Homeless Doc Claim# (textbox):

The Homeless Doc Claim field will show only when the user clicks on a claim number from a listing on the Homeless Doc page in the Online Service Center. The field will remain visible until the user creates posts a new commission. The claim will be associated with the new posting. A popup message will appear to the user indicating that the posting has been created and that the Homeless Doc has been claimed. A message will also appear at the top of the page, and the Homeless Doc Claim field will be removed from the page.

Go to Tracker (link):

The “Go to Tracker” link will close the Posting page and redirect the user to the NonArc Tracker page.

DEPRICATION OF VIEW AND EDIT VERSIONS OF NONARC POSTING PAGE

The NonArc Posting page revisions alleviate the need for separate viewing and editing versions of the posting page (these pages have been deprecated). Henceforth, when clicking on a “View” or “Edit” link on the NonArc Tracker page, the user is always directed to the NonArc Posting page. If a “View” link was clicked, the data will be disabled and the record cannot be edited (as the Travel date is in the past). If an “Edit” link was clicked the NonArc Posting page will be set to “Update” mode and the user can edit and save the posting to the database.

ACCESS KEYS

The buttons on the page now have “Access Keys” that are underlined on the buttons, respectively. The user can press the “Alt” and the Access Key letter on the keyboard to invoke the corresponding button’s function. The Access Keys may not function when using Firefox. If this is the case, the user can visit the Mozilla web site and download a fix (Go to Mozilla.org and search ‘Access Key’. However a fix is not yet available for Firefox version 3.6.3 yet).

MIXED CONTENT / SECURITY WARNINGS

The IT staff at Nexion has done its best to limit the issues associated with the “Browser Wars” between Microsoft, Google, Mozilla, et al…. However, if popup boxes egregiously and consistently re-appear asking if you want to display only secure content (Click ‘No’ for best results, otherwise the site may not function properly in some areas), browser settings can be adjusted to limit this annoyance.

Please not that if these settings are adjusted, it will apply to ALL websites and not just to Nexion. Therefore, Nexion cannot recommend this action. If the user elects this option, it can be implemented by these steps:

1.  Go to Internet Explorer

2.  Click “Tools” on the menu

3.  Click “Options” on the menu drop down

4.  Click the “Security” tab

5.  Click the “Internet” image in the “Select a zone…” area of images

6.  Click the “Custom Level” button in the “Security level for this zone” area.

7.  In the “Security settings…” popup, scroll down to the “Miscellaneous” section and in the “Display Mixed Content” option, select “Enable”.

This can also be set for the other “zones” (Local Intranet and Trusted Sites) if is necessary to alleviate the persistent popup messages.

Note: These instructions are for Internet Explorer version 8, and will vary somewhat for earlier/other versions of IE. Other browser types will have substantially different interfaces, but should provide the ability to adjust these setting.
