CATERING GUIDELINES AND AGREEMENT

A catering kitchen is discretely tucked between the Records and Sandy Bell galleries and is available during special events. All special event spaces are conveniently located near stairs, a public elevator and restrooms.

All outside caterers must agree to and up hold the following catering guidelines and service charges.Please read and initial.

  • ____ A service charge of 5% is applied to outside caterers. A copy of catering invoice shall be submitted to Museum/University within seven days of each catered event. Museum/University will invoice cater for 5% of the catering amount.
  • ____ No objects, signs, decorations, furniture, or exhibits may be brought into the museum without prior approval. Exhibition space and furniture will not be altered to accommodate any activity.
  • ____ No confetti or glitter.
  • ____ No sterno or open flames (candles, etc).
  • ____ No chocolate fountains or chocolate covered fruits or candy.
  • ____ No red wine, red punch or drinks containing staining dyes.
  • ____ No potted plants (flowers, trees, etc)
  • ____ A licensed caterer must provide all bars.
  • ____ A licensed bartender is required. University regulations regarding the serving of alcoholic beverages must be strictly observed.
  • ____ Bar must close 30 min. before event is scheduled to end. The museum and/or it's staff are not to be held liable for any violations of the University regulations or the liquor laws of the State of Oklahoma.
  • ____ All trash must be taken out of the museum after event is over by the catering company.
  • ____ Catering company must have equipment, materials and trash completely packed up and out of the museum within one hour of the event ending time, or there will be an additional $100.00 charge.
  • ____ Catering kitchen must be swept and mopped by the catering company and approved by Special Events Coordinator before catering can leave.

I have read the following catering guidelines and agreements and understand and agree to the 5% service charge to all outside caterers. Please sign and return one copy to Fred Jones Jr. Museum of Art’s Manager of Facilities and Events, John Fowler. Remember to keep a copy for your records.
